POSITION PURPOSE

The Accounts Payable Clerk provides administrative and bookkeeping support to streamline the company’s financial recordkeeping. The position is in charge of managing all communications relating to invoices and outgoing payments and will work with company controllers to balance business financial records.

ESSENTIAL FUNCTIONS AND BASIC DUTIES

• Processes accounts and payments in compliance with financial policies and procedures.
• Performs day-to-day financial transactions, including verifying, classifying, and recording accounts payable data.
• Prepares bills, invoices, and bank deposits.
• Maintain knowledge of company bookkeeping policies, audit business ledgers, organize invoices.
• Reconcile the accounts payable ledger to ensure all bills and payments are accounted for and properly posted.
• Verify and investigate discrepancies, if any, by reconciling vendor accounts and monthly vendor statements.
• Generate reports detailing accounts payable status.
• Process and record any unique billing situations that fall outside of regular operations such as custom payment plans.
• Establish and maintain bookkeeping databases and spreadsheets, updating information as needed.
• Communicate with various departments to authorize payments in a timely manner.
• Create reports and balance sheets that document overall profits and losses.
• Update accounts based on payment and contact information.
• Review invoices for accuracy and revenue recognition issues.
• Assist coordinating departments with accurate and timely communication and reporting.

Qualifications

• Bachelor of Science degree in Accounting, Finance, or related field preferred.
• Highly organized with keen attention to detail.
• Excellent verbal and written communication and interpersonal skills.
• Proficient in basic office and accounting software programs.
• Collaboration and teamwork skills.
• Strong business acumen.
• Excellent problem solving, analytical and organizational skills.

WORK CONDITIONS

The Accounts Payables Clerk will work in an office environment. The standard hours of operation are 8:00 am to 5:00 pm Monday through Friday.
