Accounts Payable Clerk / AP Clerk (Kearny Mesa)

Accounts Payable Clerk
Department: Accounting
Reports to: Controller
FLSA: Non-Exempt
This is an on-site position
Duties and Responsibilities
- Receiving and reviewing invoices from vendors, verifying accuracy, and ensuring proper authorization for payment.
- Entering invoice details into the accounting system, including vendor information, invoice amounts, and payment terms.
- Matching invoices to purchase orders or receiving documents, reconciling discrepancies, and resolving issues with suppliers or internal departments.
- Maintaining accurate vendor records, updating contact information, and addressing any inquiries or concerns related to payments or invoices.
- Preparing and processing payment runs, including checks, electronic transfers, or credit card payments, ensuring payments are made within agreed-upon terms.
- Monitoring and reconciling employee expense reports, verifying receipts, and ensuring compliance with company policies.
- Maintaining organized and up-to-date accounts payable files, both physically and electronically, for easy reference and audit purposes.
- Assisting in generating accounts payable reports, providing data and analysis to support financial reporting or budgeting processes.
Qualifications
- High school diploma or equivalent is typically required. A degree or certification in accounting or finance is a plus.
- Familiarity with basic accounting principles and understanding of accounts payable processes and procedures.
- Strong attention to detail to ensure accuracy in data entry, matching invoices, and reconciling discrepancies.
- Ability to manage and prioritize multiple tasks, meet deadlines, and maintain organized records.
- Effective verbal and written communication skills to interact with vendors, colleagues, and internal stakeholders.
- Ability to analyze and resolve issues related to invoices, payments, or vendor accounts.
