Schedule: Full-time; Monday - Friday

Location: Must be able to commute to Greater Seattle, WA area, as needed. Hybrid work schedule with manager approval.

Job Summary:

The HR Coordinator is responsible for providing excellent internal and external customer service by serving as the first and main point of contact for HR related questions. This role is expected to be comfortable with navigating Thrive's HRIS and payroll system, is responsible for following and referencing our internal processes and policies, and helps to answer and resolve employee and manager questions in a timely manner. The ideal candidate will be highly detail oriented, have prior experience working with an HRIS/Payroll System, is familiar with employment and payroll laws, and has the ability to maintain organization to meet deadlines and deliverables.

We currently have an amazing team of four! While this specific role will serve as Thrive's Payroll/HRIS expert, the position may also be crossed trained in other HR areas such as onboarding and offboarding, Employee Housing and HR compliance, benefits administration, and more!

Job Duties & Responsibilities:

  • Payroll Administration
    • Assist with Payroll Processing tasks including pre-payroll preparation, garnishment administration, expense reimbursement posting, and other recurring payroll responsibilities.
    • Assist with entering bonuses and raises to timecards, as needed.
    • Process payroll corrections including check voids, check rebuilds, and off-cycle payroll batches, if needed.
    • Oversee Pay Card setup for associates without Direct Deposit.
    • Train and support time-sheet approvers and managers on payroll processing tasks to minimize errors.
    • Maintain compliance with all Federal, State, and Local payroll laws, including final paycheck distribution and deadlines.
    • Respond to employment & income verification requests.
  • HRIS Administration
    • Review and approve employee transactions within the HRIS such as pay rate changes, transfers and promotions, etc.
    • Troubleshoot employee and manager questions or challenges, and provide hands on support via email, Microsoft Teams, phone calls, etc.
    • Manage employee directory/organizational chart within the HRIS to ensure accuracy.
    • Schedule and send company notices and messages, as needed (ex: updates, deadlines, announcements, etc.)
    • Maintain Personnel Records and other HR documentation in compliance with Federal, State, and Local laws.
    • Assist with other HR related administrative responsibilities, as requested.
  • HR Customer Service, Employee Experience, and HR Administration
    • Serve as one of the main contacts for HR questions or concerns, while directing higher-level concerns to HR Generalist, HR Manager, or HR Director.
    • Assist with managing HR and Payroll email inboxes to ensure responsiveness and maintain organization.
    • May assist with teaching sections of manager or employee trainings in areas related to payroll and HRIS navigation.
    • Stay current on key Federal, State, and Local laws and regulations.
    • Manage HR related mail sorting, sending, and organization.
    • Assist HR team, as needed, in all aspects of HR.

Desired Skills & Experience:

  • Bachelor’s Degree or Associate’s Degree in human resources, business, or another related field, or transferrable skills and experience necessary to perform the essential functions of the position
  • Property management industry knowledge and/or experience
  • Familiar with ExponentHR or demonstrated proficiency in other HRIS and payroll software systems
  • Proficient in Smartsheet and Microsoft Office Suite
  • Comfortable with learning new technology and navigating technical challenges
  • Understanding of key federal, state, and local laws and regulations such as FMLA, Washington PFML, OR OFLA, Oregon Paid Leave, ADA, HIPPA/PHI, FLSA, etc.

  • Exceptional interpersonal and communication skills, both written and verbally
  • Strong attention to detail and organizational skills
  • Demonstrated relationship-building skills with individuals from various backgrounds
  • Ability to work independently and stay on task while working effectively as part of a broader team.
  • Ability to use critical thinking and problem solving to discern priorities

Work Environment & Physical Requirements:

  • Candidates living in the Greater Seattle Area or Portland/Vancouver areas preferred
  • Ability to travel locally in the Greater Seattle, WA area for events or meetings (30-40%)
  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift to 15 pounds, on occasion
  • Hybrid work environment with manager approval. Must demonstrate ability to work effectively both in an office setting and in a work from home setting.
