Overview

Reporting to the Principal & Chief Development Officer, backup support to the Chairman & President, the Executive Assistant is entrusted with comprehensive executive-level administrative and scheduling primary support, some personal assistant work, and assistance to the rest of the Executive Administrative Support team. The core purpose of the Executive Assistant position is to facilitate smooth operations for the Company and Executive function. This position will interact with a diverse group of internal and external contacts on behalf of the most senior members of the organization. This role requires professional judgment, tact, flexibility, timeliness, attention to detail and the ability to multi-task, while prioritizing a complex workload. The core responsibility is to ensure that the highest level of support and related services are consistently provided.

Responsibilities

  • Manage professional communication and corporate correspondence by answering calls, taking messages or forwarding to the appropriate party, and typing correspondence
  • Schedule and organize activities, such as meetings, conference calls, travel, and related logistics
  • Prioritize, organize, prepare, and distribute internal/external documents including memoranda, letters, reports, presentations, confidential financials, general correspondence, etc.
  • Efficiently manage busy meeting calendar (personal and business)
  • Plan and coordinate team meetings including preparation and circulation of meeting materials
  • Organize and prioritize large volumes of information and calls
  • Respond to regularly occurring requests for information, as appropriate
  • Act as a liaison with other departments and external parties, including high-level staff such as Chairperson, President, Chief, Senior Vice Presidents, and Vice Presidents
  • Perform family business and/or personal tasks on behalf of Executives while maintaining utmost discretion and the highest level of confidentiality
  • Integrate business and personal activities and provide support for ad hoc personal requests
  • Serve as a resource, advocate, and catalyst for sustainability at The Durst Organization. Apply the skills unique to your core job responsibilities for practical integration of sustainability into processes, standard operating procedures, and adopted business practices. Seek to empower our colleagues, consultants, tenants and residents to prioritize and actively engage in environmental stewardship.

Qualifications

  • High School Diploma/GED equivalent required. College Degree or relevant office administration program certification preferred
  • 4-10 years of experience supporting Senior Level Executives required
  • Experience working within the commercial real estate or real estate development industry preferred
  • High-level ability to prioritize tasks, meet deadlines, and manage a workflow influx
  • Outstanding ability to organize complex schedules in a high-pressure environment
  • Ability to interact effectively with diverse groups and relationship building skills
  • Effective team communication skills to work both independently and in team settings, as needed
  • Excellent attention to detail and strong organizational skills
  • Personal Assistant experience a plus
  • Effective oral and written communication skills, to easily convey purpose and confidentiality
  • Professional and calm demeanor with a resourceful, can-do attitude
  • Excellent judgment and ability to handle highly confidential information and materials with discretion
  • Strong time management skills to handle multiple assignments, with a high degree of accuracy and meet deadlines with limited direction and guidance
  • Advanced proficiency in Microsoft Office applications (i.e. Word, Excel, Outlook, and PowerPoint)
  • Knowledge of Airtable Software or demonstrated ability to learn data management software a plus
  • Knowledge of Microsoft Project or demonstrated ability to learn scheduling software a plus

Salary Range: $80,000 - $95,000
