Position Summary

Position open until filled/First Review of materials will begin: Monday, April 15, 2024

Salary range for this position is: $42,540/yr. - $56,664/yr. (depending on experience)

Applicants must be currently authorized to work in the United States on a full-time basis. The employer will not sponsor applicants for work visas.

Under the general direction of the Vice President of Student Services, this position provides administrative/secretarial support to the counselors. As the front-line person, this position provides students, staff, program participants and the general public with accurate information regarding the activities related to the program and the interpretation and application of department policies.

This position supervises work-study students.

This position is governed by a collective bargaining agreement with representation by WFSE.

What you will be working on:

  • Schedules the counselors’ appointments;
  • Refers students to appropriate counselors;
  • Screens and responds to inquiries, questions, and correspondence on departmental matters via telephone, in person, and emails;
  • Prepares and maintains student records;
  • Independently assist students, staff, & the public by providing program information, activities, policies & procedures; recommends appropriate courses of action.
  • Assist counselors by preparing and advertising department’s workshops, activities;
  • Actively engages in the tenure process (attends meetings, prepares and maintains tenure books/documents);
  • Coordinates the counseling center’s offerings of Human Development Courses (HDCs); communicates with other divisions’ offerings of HDCs.
  • Prepares travel, purchasing, payroll, and other documents; arranges for transportation and accommodations;
  • Updates student data in ctcLink;
  • Prepares meeting’s agenda; notifies attendees; attends meetings, and prepares minutes;
  • Drafts and types letters, memos, narrative and statistical reports; assembles and summarizes information and data for use by the director and the counselors;
  • Reviews and researches operating procedures and develops recommendations;
  • Keeps the counselors informed of significant and important items requiring their review or action; obtains information from staff members, relays assignments, calls attention to deadlines, and obtains progress reports;
  • Updates and maintains departmental literature and submits website updates to web team;
  • Coordinates the counselors’ work with internal departments and external agencies;
  • Reads and distributes incoming mail; retains important correspondence for own or the director's attention and routes others to appropriate employees;
  • Proofreads outgoing mail, literature, and correspondence for form, content, and agreement with policies;
  • Sets up and maintains files of correspondence and records;
  • Performs other duties as required.

What you bring as a candidate: (Any Equivalent Combination of Knowledge, Skills, Abilities, Education and Experience)

  • AA degree or equivalent AND two years of experience in a related field OR equivalent education/experience.
  • Exercises independent judgment in interpreting and applying rules and regulations.
  • Familiarity with the tenure process and experience with ctcLink (or any database management equivalent in related field) a bonus.
  • Familiarity with, or willingness to learn HIPAA and FERPA privacy/confidentiality compliance. Competency in MS office skills including Word, PowerPoint, Publisher, and Excel.


Physical Requirements:

The position

  • Typically works in an office environment and uses a computer, telephone and other office equipment as needed to perform duties. The noise level in the work environment is typical of that of an office.
  • Encounters frequent interruptions throughout the workday.
  • Is regularly required to provide 1:1 support, present to small groups, and work at a computer exercising repetitive hand motion with or without reasonable accommodation.
