WeTrain Washington is Hiring a Program Coordinator Near Seattle, WA

Organizational Overview

WeTrain Washington is a training, education, and career development non-profit affiliated with Washington’s largest local union UFCW Local 3000, that provides high-quality programs for the retail grocery industry. WeTrain Washington programs aim to promote job quality, economic security, workforce equity, and career pathways for participants through the creation and expansion of skilled apprenticeship and pre-apprenticeship programs, employment pathways for underrepresented communities, upskilling and leadership development training for incumbent workers, and the development of training benefits programs for workers.

Job Overview

The Program Coordinator position will support WeTrain Washington’s apprenticeship and pre-apprenticeship programs (Meatcutter Apprenticeship, Fishmonger Apprenticeship, and Meatcutter Pre-Apprenticeship). The role will involve completing day-to-day operational tasks, data entry & reporting, and event planning for apprenticeship and pre-apprenticeship programs.

Responsibilities & Duties

Program Operations & Support

  • Assist Apprenticeship Director in administering Apprenticeship day-to-day operational tasks, including:
  • Coordinate scheduling for training facilities with third-party partners.
  • Oversee the enrollment process for apprenticeship programs.
  • Create, update and maintain apprentice files and maintain Apprenticeship Attendance & Timecard System.
  • Support instructors in executing quarterly apprenticeship graduations.
  • Collaborate with instructors to conduct inventory and purchasing to support operations at multiple training locations.
  • Manage apprenticeship communications.
  • Assist Apprenticeship Director in implementing Pre-Apprenticeship program playbooks and day-to-day operational tasks, including:
  • Coordinate scheduling for training facilities with third-party partners.
  • Manage Learning Management System for programs that utilize hybrid/online learning models.
  • Update and produce instructional and training materials.
  • Coordinate instructor contracts and invoicing.
  • Manage professional servicing of training location machinery & equipment.
  • Provide administrative support to instructors.
  • Organize, plan, and manage all apprenticeship events.
  • Other duties as assigned by the Apprenticeship Director.

Joint-Apprenticeship Training Committee Support:

  • Attend apprenticeship committee meetings (evening, third Wednesday of every month).
  • Assist committee Secretary in developing monthly agendas and managing communications to committee members.
  • Take meeting minutes and ensure they are properly documented within the Department of Labor & Industries (L&I) Apprenticeship Registration and Tracking System (ARTS).
  • Administer official committee communications to Apprentices.
  • Report on Apprentice progress through ARTS.
  • Other duties as assigned by the Apprenticeship Director.

Program Outreach & Engagement

  • Attend planned Apprenticeship & Pre-Apprenticeship outreach events with Engagement Director.

Qualifications and Skills

Required:

  • 0-2 years of relevant experience (program management, apprenticeship, labor, or adult education) or a bachelor’s in relevant field.
  • Proficiency with Microsoft Office programs (Outlook, Word, Excel, and PowerPoint).
  • Detail-oriented and able to work well independently.
  • Able to work collaboratively and effectively while prioritizing deliverables.
  • Strong dedication to quality and success of program participants.
  • Excellent communication skills, both written and oral.
  • Shares WeTrain Washington mission, vision, and values.

Preferred:

  • Experience/Background working in the Grocery Industry.
  • Experience with Virtual Meeting Platforms like Zoom and Microsoft Teams

Schedule:

  • Hybrid, Monday and Thursdays on-site
  • Monday - Friday
  • 8-hour shift, some evening events
