Seattle University has an exciting and dynamic opportunity for a Graduate Program Coordinator to join our community. The Graduate Program Coordinator is responsible for coordinating the planning, promotion, and successful implementation of graduate student-related academic programming and communications for the College of Science and Engineering and reports to the Associate Dean responsible for graduate programs in the College of Science and Engineering.

ESSENTIAL JOB FUNCTIONS:

Student Academic Planning and Coordination:

  • Track incoming student pre-requisite completion for conditionally admitted students.
  • Work with the program directors and Graduate Admissions to coordinate incoming student orientation. Act as a bridge between admissions and program advising onboarding process. Work with program directors to ensure new student communications flow is optimized for quick and seamless processing of new student into advising.
  • Work in coordination with the program director(s), the Dean’s Office, the Registrar’s Office, and the Office of the Associate Provost for Graduate Education to coordinate and triage the needs of graduate student registration.
  • Conduct quarterly outreach to unregistered graduate students to assist with registration, Student Leave of Absence paperwork and tracking, and resolution of registration holds.
  • Collaborate with college and department leadership, faculty, and staff to assist graduate students in resolving administrative issues (Late Adds, Program Petitions, Change of Major/Specialization, Graduation Update Notifications, Waivers, Immigration Internship Authorizations, and Other Forms/Letters).
  • Help graduate students navigate the internship process and track data on placements and outcomes.
  • Serve as point of contact for International Student Center and Student Financial Service.
  • Monitor and track graduate student retention issues. Work in coordination with the program director(s), the Dean’s Office, the Registrar’s Office, and the Office of the Associate Provost for Graduate Education to improve graduate retention.


Coordinate Graduate Program Events and Media:

  • Design and compose correspondence, newsletters, fliers, posters, brochures, and announcements related to graduate program events and activities
  • Coordinate and broadly publicize graduate program events each quarter with outside speakers
  • Coordinate with academic calendar to coordinate events
  • Coordinate incoming student yield events with Graduate Admission, program directors. and faculty
  • Communicate with our faculty to identify and train emcees and point-persons for the event, as well as the roles of student workers.
  • Work with Marcom’s Strategic Marketing and Social Media teams to ensure promotion of events, faculty research, and high-achieving students and alumni.
  • Manage faculty, instructor, and student inquiries.
  • Reserve rooms, technology, and catering, as needed
  • Engage in day-of event coordination involving room, signage, and technology set-up, welcoming students, attendees, and presenters to event.
  • Technological facilitation of online event sessions, as needed.
  • Maintain the graduate program websites in coordination with the Director of Enrollment Marketing and Marcom
  • Track and post student awards/featured students and faculty
  • Collate and manage alumni news
  • Post colloquia and related information (nationally recognized speakers, advertised to university)
  • Tracking and posting employment, volunteer opportunities, and general communications via website and social media.
  • Draft, edit, and proof-read website documentation and communications, for multiple audiences (prospective students, etc.).
  • Design and manage websites via the university’s content management system.
  • Provide technical assistance and coordinating more complex assistance with IT Services.


Regular Alumni Outreach:

  • Work in coordination with Seattle University Alumni Relations to engage in alumni outreach
  • Through this outreach, create a repository of information, including data on post-graduate employment and post-graduate activities, etc.
  • Use online platforms to coordinate networks (e.g., LinkedIn)


Office Support:

  • Front office support such as answering main office telephone, greeting guests and taking walk-in questions from students, monitoring general graduate email inbox, and managing incoming and outgoing mail, managing file systems
  • Assist faculty with textbook and desk copy ordering.


MARGINAL JOB FUNCTIONS:

  • Other tasks as assigned

Qualifications

MINIMUM QUALIFICATIONS:

  • Bachelor's degree with two or more years of progressively responsible experience in program coordination or an equivalent combination of education and experience.
  • Ability to work independently with little supervision, as well as on team-oriented projects.
  • Proficiency in Microsoft software such as Word, Excel, PowerPoint, Outlook and Teams.
  • Experience maintaining a website.
  • Strong interpersonal skills with the ability to interact with diverse groups of people with a professional demeanor and to manage confidential information.
  • Ability to communicate effectively by telephone, in person, and via written communication.
  • Strong writing and editing skills as well as highly organized and detail oriented.

PREFERRED QUALIFICATIONS:

  • Experience with website management and design.

Compensation at a Glance:
Salary Range: $44,000 - $49,000
Seattle University has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, and not based on a candidate’s gender or any other protected status.
