The Master of Human-Computer Interaction and Design (MHCI D) graduate degree program is seeking a Temporary Graduate Program Advisor to fill a salaried position during employee leave.
Although full-time work is preferred, candidates able to work a consistent effort between 50% - 100% will be considered. This position is eligible for remote or hybrid work. The Graduate Program Advisor plays a critical role in the MHCI D program by managing the co-curricular and extra-curricular activities and delivering student services that support the entire graduate student lifecycle, which we define as starting with recruiting prospective students, through their application and acceptance process, orientation and coursework, graduation and then the launch or re-launch of careers as they become program alumni.
This position is anticipated to last approximately 6 months from date of hire.
Duties & Responsibilities:
Advising and Student Support (45%)
  • Maintain and communicate current knowledge of policies at the Graduate School, International Student Services and MHCI D that will directly impact MHCI D students; monitor all students to ensure compliance with these policies and develop remediation plans with students who fall out of compliance.
  • Manage Administrative Graduation Accountabilities; ensure that masters requests are submitted and processed.
  • Support student academic success and graduation by communicating degree requirements to students, assisting students with graduation planning, monitoring degree progress, and conveying requests for graduation to the Graduate School.
  • Support Capstone process as needed w/special focus on student/alumni connections/advising.
  • Support student career dev and planning during the summer, including activity planning, student 1:1s to review resumes, portfolios, and portfolio presentations and assisting students navigate the job application process (interviews, negotiating, etc.).
  • Maintain and update student data; coordinate with Academic Director on student progress and academic probation; meet with individual students as needed to review satisfactory academic progress.
  • Communicate with Academic Director about cohort morale, emerging student needs, and feedback on curriculum; represent student perspectives and needs in program team meetings and discussions.
  • Help individual students resolve issues with registration, financial aid, and other administrative roadblocks that may arise; make appropriate referrals to UW resources such as International Student Services, Financial Aid Office, Center for Career Services, Counseling Center; support students through connections to UW resources such as GSEE, Disability Services Office, Husky Veterans.
  • Manage electives, including updating the electives portal and supporting students through the electives process.
  • Manage New Student Fall Course Registration, including addressing registration holds (i.e. Health Immunization, Visas, etc.)
  • Support preparation for Fall orientation Immersion Studio
  • Support Program Meetings and Town Halls
  • Recruiting and Admissions (30%)
  • Inform applicants of program details and the admissions process. Advise prospective students on program benefits and features to assist them in determining program fit.
  • Advise prospective students regarding the application process, degree requirements, transfer and GNM credits, and other issues.
  • Liaise with other departments on campus (e.g., International Student Services, Office of Student Financial Aid, Graduate School, Continuum College) to ensure accurate handling of questions and applications.
  • Liaise with Graduate School and other UW offices in support of diversity, equity and inclusion.
  • Facilitate review of annual admission cycle, update policies and procedures and web-based information.
  • General (15%)
  • Admission Portal Upgrade Support: Help with the transition to the new UW Admissions Portal / SLATE. They have been asking for sample applications and to review whether the system works in the way that we need.
  • Provide MyGrad Support
  • Student Alumni Support (10%)
  • Organize Student and Alumni Events (Advising, Special Events, Community Building
  • Minimum Qualifications:
  • Bachelor's Degree in education, counseling, business administration or related field
  • At least 3 years of work experience in academic advising for college or university students, and/or recruiting, and/or career coaching and job placement
  • Experience working with individuals of varying ages and diverse backgrounds, including underrepresented minorities and/or international students or employees
  • Demonstrated ability to balance student centered responsibilities with program-wide responsibilities
  • Demonstrated ability to resolve difficult, challenging, or unique situations
  • Demonstrated ability to manage time and workload against external deadlines
  • Proficiency with Microsoft Office Suite, Google Workspace, electronic calendaring, electronic contact management system
  • Excellent verbal, written, and interpersonal communication skills
  • Strong attention to detail
  • Working Environmental Conditions:
    A fully remote or hybrid work schedule is available for this position. The position may require occasional hours outside of normal work schedule for evening events or international phone calls.
