ThisTemporary,Part-TimeProgram Coordinatorposition is located at theHans Rosling Centerat the UW main campus. The program coordinator will perform day-to-day tasks necessary for organizing, planning, and implementing successful training programs and research studies. This position will play a key role in the coordination and synergy of program activities, including regular communication with trainees, investigators, and staff in Seattle, Kenya and Nepal.
This is an exciting opportunity to be part of a dynamic team and to interact with leaders in the field of global health research and practice, both within the University and the global health community more broadly. This individual will assist with the daily operation of several training and research grants under the direct supervision of the Program Manager. This person will also provide research support to Dr. Carey Farquhar, Interim Chair the Department of Global Health, Professor of Global Health, Medicine, and Epidemiology, and Director of IARTP. This position requires excellent organizational skills, effective prioritization and time management, a high degree of professionalism and sensitivity to diverse cultures, a commitment to share information with unit stakeholders, and strong skills in written and verbal communication.
POSITION RESPONSIBILITIES:
Program Coordination and Communication: 75%
Coordinate day-to-day operations of the IARTP and other Fogarty programs, including managing urgent trainee requests, scheduling, purchasing, facilities, and communication.
In partnership with Program Manager, track trainees progress in programs, including maintaining records of trainees responsible conduct of research training, academic plans, and individual development documents.
Liaise with School of Public Health Departments and other university offices to ensure that trainees are meeting all academic and enrollment requirements.
Develop and update program recruitment materials including flyers, brochures, and other handouts.
Coordinate the recruitment of trainees and manage IARTP application materials.
Provide support to IARTP trainees throughout the application process to the UW Graduate School, including editing application materials.
Draft correspondence to internal and external partners.
Assist with the development of materials for academic courses, workshops, and special meetings.
Prepare ethical review board applications and track timelines for study renewal and reporting.
Edit and maintain business documents: CVs, NIH bio sketches, and Other Support documents.
Arrange international calls/meetings, ensuring that meeting attendees have agendas and documents needed for the meeting, and circulate post-meeting notes.
Maintain program electronic files.
Assist in creating SOPs for both central UW office and country program operations.
Assist with development of documents for grant applications, as needed.
Attend weekly administrative meetings, weekly check-in meetings with direct supervisor, monthly Fogarty research seminars, and others as necessary.
Procurement and Travel: 25%
Arrange travel details program faculty, trainees, and staff at domestic and international sites, including requesting visas, arranging meetings, booking travel, securing visas and insurance, and facilitating ground transportation.
Liaise with the relevant UW offices to help ensure trainees have required documentation to enter/exit the country while maintaining student status.
Coordinate international travel and meeting logistics for workshops and seminars in, including the development of meeting materials, room logistics, and travel arrangements for participants.
Work closely with Program Manager and UW Offices to trouble-shoot problems and issue clear guidance for resolution.
Perform other tasks as assigned.
POSITION REQUIREMENTS/DEGREE EXPERIENCE:
High School Graduation or equivalent AND Two Years of experience in the program specialty OR equivalent education/experience
DESIRED QUALIFICATIONS:
Experience working with academic programs and researchers.
Experience in global health programs, training or research projects, and broad understanding of global health sector.
Ability to manage, prioritize and problem-solve complex collaborative projects.
Excellent written and oral communication skills.
Knowledge of UW systems (WorkDay SDB, and PurchasePath).
CONDITIONS OF EMPLOYMENT:
This position isPart-Timeat .50 FTE. General business hours are 8am-5pm, Mon-Fri and based at the Hans Rosling Center, Seattle. The team is operating in a hybrid model working in person and remotely. Ability to participate in some early morning telephone conference calls in order to accommodate time zone differences between country project sites is required.
