Advancement Department – Washington State Bar Association (WSBA)

Salary Range: $42,758 to $42,758 Washington State Employee Benefits
FLSA - Full-time, Non-Exempt

The WSBA's mission is to serve the public and the members of the Bar, to ensure the integrity of the legal profession, and to champion justice.

Purpose and Position Summary:

The Program Coordinator (PC) is part of the Member Services and Engagement (MSE) Team that executes a range of activities related to: WSBA’s (Washington State Bar Association) 29 Sections, mentorship, new member programming, rural practice, and other member benefits and services. The PC is responsible for carrying out logistics and administrative tasks that support sections, new member programming, mentorship, rural practice, and other member benefits, including but not limited to the WSBA Insurance Marketplace and the Lending Library.

Primary Job Duties and Responsibilities:

Provide logistics and administrative support for new member programming, mentorship, rural practice, and other member benefits, including but not limited to:

  • List serves administration.
  • Creating web content, copy editing web content, and ensuring web content accuracy.
  • Monitoring and responding to customer service inquiries from multiple customer service email inboxes.
  • Maintain and administer mentorship program directory twice a year.
  • Coordinate and update team folders/files.
  • Draft and disseminate e-newsletter, New Member News.
  • Event and meeting coordination, including pre and post venue logistics. Event implementation including but not limited to, tracking attendance, day of needs, and event set-up/clean-up.
  • Support for Washington Young Lawyer Committee meetings:
  • Taking meeting minutes. Processing volunteer expense reimbursements. Maintain internal committee and databases per records retention policies. Website updates/ general maintenance.
  • Support for the WSBA’s rural practice initiatives including, but not limited to:
  • Small Town and Rural Committee meetings: taking meeting minutes and maintain internal committee and databases per records retention policies. Processing volunteer expense reimbursements. Website updates/ general maintenance.
  • Conduct research, provide project support and assist with other relevant stakeholder communications.
  • Attendance and participation in MSE Team and Advancement Department meetings.

Perform administrative support for WSBA Sections and Sections Team, including but not limited to:

  • Participation and attendance in Sections Team meetings.
  • List serves administration.
  • Monthly add-ons for list serve/new section members.
  • Event and meeting coordination including pre and post venue logistics and implementation including but not limited to, tracking attendance, day of needs, and event set-up/clean-up, when requested.
  • Assist in drafting portions of the e-newsletter, Sections Bulletin, when requested.
  • Request membership rosters and route communication requests, when requested.
  • Conduct research and provide project support, when requested.
  • Maintain internal files and databases per records retention policies, when requested.
  • Creating web content, copy editing web content, and ensuring web content accuracy, when requested.
  • Routing and processing expense reports and contracts, when requested.
  • Monitoring and responding to customer service inquiries from customer service email inbox.

Provide administrative maintenance and support of the WSBA Lending Library:

  • Process member requests – checking books in and out using the electronic database system and creating shipments of the physical books.
  • Requires onsite presence (1-2 days/week) to process returns and fulfill shipments of materials.
  • Monitor customer service email inbox and respond to member inquiries regarding use of the Lending Library.
  • Track unreturned books and follow processes for sending final notices and suspending patron accounts.
  • Maintain physical Library inventory by processing new item purchases, performing a periodic audit of items in the library, and working with the Practice Management Advisor to identify books to de-commission from the library.
  • Conduct research and provide project support, when requested.

Assist with limited administrative support across the Advancement Department:

  • Provide limited administrative support within other teams in the Advancement Department for ongoing or project/episodic-based initiatives.

Other duties as assigned

  • E.g., May serve as backup for other MSE Team members, participate in other WSBA interdepartmental project teams, and attend meetings.

Education Required:
  • Position requires a high school degree or equivalent.
Education Preferred:
  • Associate’s degree or higher.

Experience Required:

  • A minimum of 2 years’ experience in a busy, deadline-driven, office environment.
  • A minimum of 2 years’ experience in event planning and working with strong project management teams is highly desired.

Experience Preferred:

  • Experience in a customer service field and with supporting volunteer boards or committees; experience working with legal professionals.

Competencies (Skills/Abilities) Required:

  • Significant ability to manage competing priorities, deadlines, and tasks while supervised by the team manager and receiving direction from other members of the team.
  • Continual and conscientious attention to detail in composing, typing, and proofing materials; ability to appropriately establish priorities and meet deadlines.
  • Exceptional Organizer to successfully support multiple program areas, as well as your own, and possess strong project management skills.
  • Must be able to follow established rules, processes, and routines while balancing competing program objectives.
  • Advanced verbal and written communication skills.
  • Ability to anticipate next steps, take initiative, exercise sound judgment, and work well independently and as a member of the team.
  • High level of interpersonal skills to communicate and work with internal and external diverse cultures, committee members, the public, and all WSBA members. Possess demonstrated stellar customer service skills.
  • Position continually requires demonstrated poise, tact, and diplomacy, and the ability to interact with individuals at all levels of the organization. Exceptional teamwork and collaboration skills.
  • A high degree of proficiency with Microsoft Office productivity software (Teams, Word, Outlook, Excel, OneNote, and PowerPoint) is required. The position should also quickly become proficient with the organization’s web content management system (website), member database, Lending Library database, list serve application, survey tools, and other databases/applications as needed.

Working Conditions:

  • This is a hybrid position that requires on-site presence at the WSBA office at least 1-2 days/week, and then may work remote. This position may also have the option to work in-office. For remote work, must have an adequate home/work environment and internet access, for performing work of a highly sensitive and confidential nature.
  • Employment with the Washington State Bar Association mandates that WSBA Staff must reside within the State of Washington at the time of hire, and during active employment status.
  • The essential functions of the job that must be performed, with or without a reasonable accommodation: This position must be able to regularly work five days per week in an office type environment (remote or in office), possess the ability to primarily sit/stand and use a computer, and lift/push/pull items weighing up to 25 pounds. Must be able to operate a computer keyboard, and other standard office equipment (e.g., printer/scanner/fax/telephone). This position must be able to read, write, and speak with others in English.
