Job Duties can include:

  • Establishes and implements office procedures; assists faculty, staff, students and visitors as needed; maintains routine student files, answers telephones, sends prospective student information, resolves problems. Provides main office support for Art Center, including correspondence.
  • Assists the Art Department chair(s) in coordinating the different department needs including overseeing 18-21 adjuncts. Updates new adjunct training materials and reference guides. Assists the department with the administrative and data gathering associated with grant proposals. Processes grant budget forms and tracks expenses. Creates custom advising documents for Art department faculty each quarter before registration. Collects Syllabi each quarter. Assists with Art Scholarship procedures.
  • Event Coordinator: Generates publicity for art department guest speakers, vendors, and events; email news, and updates Art Department Directory; Schedules events at the Art Center as well as updating the class quarter schedule for each classroom; Keeps a master calendar both for the department, and event calendar for students and student clubs. Helps coordinate and Art Department orientation, open house, and auditions; Updates the department presentation Power Point and materials.
  • Supervises and trains student workers; Oversees process of applications for Art major and minors, compiles majors list and cross references with University major and minors; Acts as Student Academic Services representative within the Art department; Assistant to registration process for art classes, notifies students about new sections, waitlist processes, and in-major/minor advisor processes.
  • Assists faculty with preparation of travel and reimbursement requests; logs and forwards all budget documents to CAS Budget Manager. Works with CAS Budget manager to manage tracking of student fees; Tracks interdepartmental budget data.
  • Maintains syllabus files (including changing content on a quarterly basis); keeps track of routine edits and changes in catalog. Communicates between chair and OTR to uphold OTR administrative guidelines and procedures during this process; Assists chair(s) with the annual department Curriculum Meeting. Preparation for this meeting is a yearlong process of documenting and gathering enrollment data, waitlist data, and instructor teaching agreements.
  • Orders office and art supplies handles printing, and arranges maintenance services.
  • Manages the student worker in the weekly room maintenance and supply check and replenishes accordingly. Acts as liaison between SPU facilities and the Art department reporting any issues in regards to heating/maintenance; Campus security contact for Art Center building and is BEC point person for emergencies; Responsible for upholding SPU HAZMAT guidelines and procedures.
  • Prepares Art Center Gallery mailings and maintains mailing list. Coordinates arrangements for Art Center events. Assists in hanging shows (includes lighting, lifting, and some ladder work.); Assists Gallery Coordinator with gallery tasks including working as liaison with artists for exhibitions, sending out mailings, coordinating submissions, announcements, graphics and openings and keeping archived records of gallery shows. Assists faculty with departmental study abroad programs. Assists in coordinating fund raising events.
  • Works with ITS to maintain computers for the Art Center Computer Lab. Ensures proper licensing of all software in computer lab. Oversees upgrade process, including procurement and sales of computers, for the Visual Communication Computer Lab. Oversees upgrade process and sales of computers: advertising, money transactions; and distribution for the Art Center Computer Lab; Replenishes computer lab ink and paper, as well as checking out cameras and other equipment to students; Helping to assist in monitoring computer program licensing for the Art Center Computer Lab.
  • Assists in Alumni Relations and Art Center promotion.
  • Assists Procurement with Internships for all Art majors and minors.
  • Assists in grant management and fundraising.
  • Performs other related duties as assigned or initiated from needs that arise in the department.
Job Requirements:
  • Bachelor's degree.
  • Work Experience organizing events.
  • Ability to prioritize multiple tasks.
Additional Information:

Position will remain open until filled. This posiiton works full time during the academic year and 1/2 time during the summer.

Salary: $20.72 per hour
