Seattle Childrens Hospital is Hiring a Program Coordinator II Near Seattle, WA

Responsibilities

The Program Coordinator II is responsible for coordinating activities associated with a specific complex program or group of complex programs in a specialty/functional area including scheduling, coordination of communication, data management, document preparation, and process improvement. Works in collaboration with the Program Manager and other program staff as well as other stakeholders to help to implement the program's objectives in support of identified goals and the continuous improvement process. Responsible for ensuring effective communication among stakeholders and program staff. May manage data on the program's effectiveness. Responsible for facilitating the deployment of the program's strategy including implementing a variety of solutions that optimize the program's effectiveness. Coordinates the process of executing initiatives essential for the success of the program. SERIES CONCEPT: A program is a specialized area with specific complex components and discrete tasks which distinguish it from the main body of the organization. There is a defined plan to accomplish a particular objective with elements and scope that distinguish it from the usual scope and responsibilities of a department or functional area. The specialized tasks involve interpretation of policies, procedures and regulations, independent functioning and public contact. A program typically has a long-term focus with an expectation that the plan/program will serve or impact on-going needs or goals. The primary responsibilities and accountabilities are typically transferable from one program to another. The performance of administrative tasks are in support of the individual's performance specific to the program.

Job Posting Addendum

§ Facilitate trainee and site required documentation for pediatric medical student rotations in the WWAMI region. Through the use of written, electronic, website and or databases, provide an effective, expedient process that ensures accurate, timely communications to all students, educators, sites and credentialing parties, reducing time spent for transitions and optimizing time for educational opportunities or benefit. Monitor pre- and post-educational requirements.

§ Oversee and coordinate the WWAMI pediatric programs in the 5 state region. Serve as the administrative expert and point of contact for pediatric WWAMI communications for both internal and external customers. Engage, support, and oversee all regional WWAMI related programs and administrative activities to ensure a smooth operational program. Monitor, prepare, analyze and/or administer applications (site, course, etc.), agreements, and contracts. Provide oversight to monitor and develop changing needs, trends or requirements that affect the WWAMI administrative program. Monitor program transitions and timelines. Communicate with multiple internal and external leaders, sites and educational support services for optimizing changing needs, trends or requirements.

§ Provide coordination of the annual pediatric WWAMI retreat, including budgets, contracts, site procurement, catering needs and evening dinner. Collaborate on conference preparations, retreat manual and awards. Coordinate with directors, attendees, retreat venue, travel considerations, and overnight accommodations. Strive to ensure a successful, well supported annual WWAMI Retreat for all attendees.

Requirements

Required Education/Experience:

  • Two (2) years college coursework in Business, Healthcare, Human Services or related field or equivalent combination of education and experience.
  • Three (3) years program coordination support experience; including at least 1 year of experience organizing multiple projects through to completion.
  • Successful track record convening and facilitating dialogue with multiple and diverse stakeholders.
  • Experience with: drafting, editing and developing communications and/or reports; data analysis and data entry.

  • N/A.

Preferred:

  • Bachelor’s Degree in Business, Project Management, Marketing, Human Services or related field.
  • Experience working in public health, health care or social services.
  • Experience working on continuous process improvement projects and understanding of lean methodology.

Min to Max Hourly Salary

$27.61 - $41.42 /hr

Min to Max Annual Salary

$57,428.80 - $86,153.60 /yr

Salary Information

This compensation range was calculated based on full-time employment (2080 hours worked per calendar year). Offers are determined by multiple factors including equity, skills, experience, and expertise, and may vary within the range provided.
