Hansen McMonagle PLLC is Hiring a Receptionist Near New York, NY

Position Summary

The Receptionist will provide reception and conference room coverage as well as perform other legal assistant administrative duties. The Receptionist will also assist other administrative staff with administrative tasks and responsibilities. Candidates should also be dependable and flexible to work overtime as needed.

Duties & Responsibilities

  • Create an exceptional first impression for our clients and visitors and represent the firm in a positive and professional manner. Actively promote and ensure clear communication between reception, attorneys, and office clientele. Adherence to confidentiality policies at all appropriate times.
  • Promptly answer all incoming calls to the law firm, taking and delivering accurate messages via email or voicemail, as directed by attorney or staff.
  • Keep track of law firm calendar events for attorneys and clients as needed.
  • Assign visitor conference rooms and issue temporary access identification cards to visiting firm attorneys and employees.​ Keep accurate logs of both visitors and issued cards and deactivate and reorder, as necessary.
  • Schedule meetings, book conference rooms and maintain accurate logs. Manage the setups for conference rooms to ensure reservation requests are met prior to scheduled meeting.
  • Maintain and coordinate details of firm meetings and events to properly direct attendees.
  • Receive and direct deliveries and keep an accurate log.
  • Assist with assembly of large print jobs, scanning documents, maintaining client files and electronic databases, updating and organizing materials in binders, processing expense reimbursements for attorneys and entering time into billing systems as needed.
  • Assist accounting staff with assembly of client billings.
  • Assist staff, visitors and clients with all special requests, including taxi, car service, directions and suggestions for local accommodations.
  • Arrange for caterings and act as liaison between food service staff and firm to ensure perfect order and timing. Update spreadsheet and account information.

Skills & Competencies

  • Strong written and verbal communication skills. Ability to answer phones and transfer calls and professionally meet and greet visitors.
  • Excellent interpersonal skills and ability to collaborate well in a team.
  • Extremely organized, detail-oriented, able to multi-task, prioritize workload, work efficiently in a team-oriented setting, take direction with minimal supervision, and work well under pressure in a deadline-oriented environment.
  • Strong ability to maintain high standards and confidentiality, while seeking out ways to contribute and anticipate needs.
  • Proficiency with Windows-based software and Microsoft Office Suite required.
  • Manual dexterity and physical mobility, including ability to move frequently from reception area to conference rooms.

Qualifications & Prior Experience

  • Bachelor’s Degree preferred or equivalent education and work experience.
  • Law firm experience a plus.
  • Proficiency with Box, Windows-based software and Microsoft Word, Excel and Outlook required.
