We are looking for a highly organized and proactive Executive Assistant to support the Chief Digital Officer and the broader Global Digital Organization. You will play a critical role in streamlining operations, managing calendars, meetings, and travel, and overall ensuring the effectiveness of our global digital leadership team. The ideal candidate is detail-oriented with strong communication and time management skills.


What you will do:

  • Calendar & Meeting Coordination: Handle and coordinate executive calendars, schedule and prepare for meetings, resolve scheduling conflicts, and ensure a balance between meetings and work time. Provide administrative support for both onsite and offsite meetings, including logistical coordination and technology setup with proficiency in Google Suite and other conferencing tools
  • Travel Arrangements: Plan and arrange comprehensive domestic and international travel itineraries, handle visa requirements, and prepare detailed travel expense reports, ensuring all travel is efficiently organized and documented
  • Document Management & Communication: Handle routine and complex correspondence, create and edit presentations and reports, and maintain distribution lists. Communicate updates and weekly calendar statuses, ensuring confidentiality and discretion with sensitive information
  • Operational Support: Process invoices and purchase orders, set up and manage vendor relationships in procurement systems, and provide support for departmental operations, including event organization and logistics
  • Problem-Solving & Networking: Proactively identify and resolve issues, from troubleshooting equipment to engaging with key stakeholders for solutions. Use informal networks effectively to support executive and team needs
  • Confidentiality & Discretion: Exercise extreme sensitivity to the confidentiality of data, handling all disclosures with the utmost discretion and maintaining privacy for personnel and business matters


Required Qualifications:

  • High School Diploma or GED
  • 5 of experience, with previous executive / high level administrative support experience
  • Demonstrated proficiency using Google suite products (gmail, sheets, docs, slides, google meet, etc.)
  • Experience with Concur expense management system; AMEX travel management system; as well as an aptitude to learn other programs / technology tools as required
  • Ability to create, manage, and proof-read Google slides
  • Strong communication, multi-tasking, problem-solving and organizational skills


Compensation and Benefits

Salary Range $72,000.00 - $95,000.00 USD
Pay is based on multiple non-discriminatory, individualized factors including but not limited to experience, job-related knowledge and education, skills and office/market location. In addition to base salary, salaried employees are eligible for annual discretionary bonuses, profit-sharing and, for Executive-level (salary grade 16 and above) roles only, long-term incentives in the form of Restricted Stock Units and/or Stock Options.
Subject to the terms and conditions of the applicable benefits plans then in effect, all salaried employees are also eligible for a competitive benefits package which includes:

  • Insurance: Employees (and their eligible dependents) are eligible to participate in Company-sponsored Medical, Dental, Vision, Basic Life Insurance, Accidental Death & Dismemberment and Disability insurance plans.
  • Retirement Plans: Employees are eligible to enroll in Colgate's 401(k) plan, which provides for company matching contributions subject to eligibility requirements
  • Vacation/PTO: Employees receive a minimum of 15 days of vacation/PTO leave annually
  • Paid Holidays: Employees receive a minimum of 13 paid/floating holidays annually
  • Paid Sick Leave: Based on location and consistent with applicable state and local law, employees receive a minimum of 40 hours of paid sick leave on January 1st of each year
  • Paid Parental Leave: Eligible employees may take up to eight weeks of paid parental leave and 12 weeks of unpaid leave (varies for employees with fewer than 12 months of service and is subject to hours worked requirements)
