JOB SUMMARY

The Administrative Assistant assists leadership within the community by performing clerical duties. This position works closely with, and may provide support to the Executive Director, department heads or other staff members in the daily operations by performing clerical and related duties.

KEY RESULT AREAS/ESSENTIAL FUNCTIONS OF THE JOB

  • Coordinate administrative office functions.
  • Prepare correspondence, memos and reports.
  • Improve administrative functions and coordinate calendars with appointments and meetings.
  • Make lodging and transportation reservations as needed for leadership within the community.
  • Interact with people in person, on the phone or through the mail.
  • Organizing the agendas and setting up meetings.
  • Record meeting minutes and maintain attendance record for Management Team meetings, Board meetings and other meetings as assigned.
  • Promotes the Benedictine Mission and Core Values of Hospitality, Stewardship, Respect and Justice by bringing the Mission and Core Values into the day-to-day activities of the company.
  • Performs other duties, tasks and/or projects as assigned.

QUALIFICATIONS REQUIRED

  • High School Diploma or equivalent

QUALIFICATIONS PREFERRED

  • Associate’s Degree in business-related field
  • Experience in an administrative-level support position

KNOWLEDGE, SKILLS AND ABILITIES

  • Excellent communication skills coupled with the ability to direct others and work as a team to make administration work efficiently.
  • Computer skills using Microsoft Office as well as a variety of office-based software applications.
  • Ability to maintain confidential nature of all items of which he/she has knowledge.
  • Ability to read, write and communicate in English.
  • Ability to handle multiple tasks with frequent interruptions.
  • Ability to work under pressure to meet deadlines.
  • Ability to work independently, anticipate and implement office needs and prioritize workload.
  • Ability to communicate appropriately with key stakeholders.
