Description

The School District of La Crosse is accepting applications for a 1.0 FTE Data Services Systems Specialist – 4K Administrative Assistant. This position works 40 hours per week, 12 months per year at Pay Grade 2 for Administrative Assistants.

REPORTS TO: Director of Elementary Education, Data Services Manager, and Director of Technology

ACCOUNTABILITY OBJECTIVES:
Ensure the smooth and efficient operation of the 4K/Preschool Program so that the maximum positive impact on the education of children can be realized. Use superior customer relations techniques and skills to accurately and efficiently carry out the functions to assist the Data Services Manager with statistical reporting, state/federal reporting, and student information system data verification processes (student, staff, and course data, and enrollment data processes).

ESSENTIAL FUNCTIONS:
1. Assist Data Services Manager in ensuring a district longitudinal data system by providing direct support, reporting, and supervision of student and staff data and data verification/validation systems (e.g. WISE Data, Rostering, etc.).
2. Assist Data Services Manager in state/federal reporting functions.
3. Assist Data Services Manager with course data management functions.
4. Assist building/department administrative assistants with their Skyward Information System use and functions.
5. Create reports through Student Information System (Skyward) reporting tools for district personnel (i.e. data warehouse, data mining, etc.).
6. Demonstrate superior public relations and maintains smooth and efficient office operations.
7. Responsible for Rostering data integrity, cleanup and validation (staff and student).
8. Responsible for WISE Data – YE/CD/Oct Count/Spec Ed/Discipline data integrity, cleanup and validation.
9. Responsible for WISEID data system.
10. Responsible for WISE system to assist with daily data validation (student data, attendance, etc.).
11. Maintain all levels of confidentiality for students, parents, and district staff.
12. Maintain a filing system for documentation components.

POSITION RESPONSIBILITIES:
1. 4K/Preschool Program
a. Serve as a primary contact in the Welcome Center/Registrar’s office.
b. Create a positive image for the office and school district through all interactions with the public and district staff.
c. Plan for and carry out the annual Preschool registration process and Parent Orientations.
d. Work with families to register Preschool students including transportation, scheduling, and site placements.
e. Work cooperatively with district partners in Preschool programming.
f. Run report cards for Preschool program.
g. Order and account for supply and equipment orders for program.
h. Monitor program budget and account for payment to providers.
i. As needed, assist the district registrar with enrollment of students and provide support to 4K teachers.
j. Manage all program site enrollments and transfers.
k. Reconcile program pupil counts.
l. Assist in development of agendas for program meetings.
m. Attend program meetings as needed.
n. Work with local agencies such as Head Start to coordinate student enrollments.
o. Coordinate and carry out Preschool program parent mailings/notifications.
p. Perform computer tasks using Microsoft Word, Excel, general office equipment, electronic communication, and website management.
q. Ability to be flexible with scheduled hours.
r. Perform other duties as assigned.
2. Data Services Systems Specialist
a. Work with buildings to have an accurate scheduling/course master to support eScholars, Future Scheduling.
b. Assist District Registrar with PK-12 student enrollment and registration.
c. Assist District Registrar with student data updates and accuracy.
d. Serve as back-up to District Registrar.
e. Provide direct support for custom forms creation and maintenance.
f. Provide direct support for student information system.
g. Assist with support for data warehouse and data mining reporting structures, developing actual reports upon request.
h. Provide student information system helpdesk support to district staff.
i. Coordinate responsibilities with the Data Services Manager on a day-to-day basis.
j. Process A intradistrict transfer requests.
k. Assist with open enrollment applications.
l. Provide support in other data systems (Data Warehouse, Learning Management System, others).
m. Maintain all levels of confidentiality for students, parents, and district staff.
n. Perform other duties as assigned.

Qualifications

POSITION QUALIFICATIONS:
A. High school diploma required. Additional vocational/technical training beyond high school preferred.
B. Possess excellent people and communication skills.
C. Ability to interact with people of all ages.
D. Skill with information systems including student management and office management software (word processing, data management, and budget software).
E. Excellent organizational skills and attention to detail.
F. Ability to perform quality work thoroughly and accurately.
G. Effective time management skills.
H. Ability to organize and maintain steady workflow within designated timelines.
I. Ability to work independently with minimum supervision.
J. Strong writing and proofreading skills.
K. Superior problem solving and conflict resolution skills.
L. Excellent analytical and numerical reasoning skills.
M. Exceptional information management/software skills, electronic tools usage skills, and reporting skills. (e.g. database, word processing, spreadsheet/graphing, publication, online web tools, etc.).
N. Ability to integrate between various software tools (e.g. databases, spreadsheets, word processing, Student Information System (Skyward)).
O. Knowledge of and ability to use the Student Information System database for maintaining and reporting.
P. Understanding of state/federal reporting (e.g. WISE Data, Rostering, etc.).
Q. Understanding of special education terminology.
R. Bilingual ability to read, write, and speak preferred.
