Facilities Administrative Assistant:
Looking to bring your administrative skills to a facilities team within higher education? Well, we have the job for you! Our client, a highly acclaimed university in the Cambridge, MA area, is looking to bring on a Facilities Administrative Assistant to join their team. This position is not a facilities worker based position, yet more of the administrative back office type position
This position is3-months temporary with potential for it to convert permanently.
The right candidate for this opening must be reliable and understand that MUST be able to be at the office by 7:00am. They do not want someone who is going to be late constantly. If you live too far from Cambridge, then this position may not make sense for you. Must be ok working in a facilities/ trade’s environment. Will be working around a lot of facilities workers. May be some inappropriate language around the office, so please don’t be alarmed about this. The office is located in the basement, so this person must ok working in a quieter/ slightly more isolated office environment. Should be ok working independently. Will be people there to help assist when needed. No windows in office. Will be work on Work Orders- creating work orders through SAP, so should be tech savvy
  • Pay: $24/hr.
  • Days/Hours:Monday- Friday, 7:00am-3:00pm
Please Note:
  • This position will require this person to work 5 - days on-site
Please note: If they select this person as the permanent person, the hours will be 6:30am-3:00pm
  • No covid vaccinations require, but recommended
  • This position requires a successful passing of a background check
Job Details:
  • Review preventive maintenance and as necessary, create sub-work orders to address work required to be completed based on Supervisor direction
  • Ensure the work order system (SAP) is updated timely and accurately
  • Maintain accurate equipment records in SAP and work with Asset Coordination Team to request field audits to identify various equipment for recordkeeping
  • Place purchase orders with vendors as required
  • Maintain accurate regulatory records
  • Assist in maintaining Lock Out Tag Out (LOTO) documentation and auditing
  • Responds to inquiries requiring an in-depth understanding of departments policies and procedures. Inquiries may be complex and require additional research. Takes ownership of inquiries by providing explanations and instructions. Ensures inquiries are addressed and resolved.
  • Composes and edits correspondence and other documents. Makes editorial changes in materials including limited rewriting, tables, and graphics; and independently checks for accuracy of content by referencing a variety of sources and researches and gathers information for content. Independently replies to correspondence when appropriate.
