Job Description:

We are seeking a detail-oriented and organized Administrative Assistant to join our team. The ideal candidate will have prior administrative experience, preferably within the construction and restoration industry, focusing on plumbing, HVAC, and electrical services. This individual will play a key role in supporting our operations and ensuring smooth day-to-day office functions.

Responsibilities:

  • Provide administrative support to the management team, including scheduling appointments, managing calendars, and organizing meetings.
  • Assist with the preparation of estimates, documents, presentations, and reports.
  • Coordinate communication between internal teams, clients, and subcontractors.
  • Maintain accurate records and databases, including project files and client information.
  • Assist with procurement by obtaining quotes, placing orders, and tracking deliveries.
  • Manage incoming calls and emails, responding promptly and professionally.
  • Assist with billing and invoicing processes as needed.
  • Perform general office duties such as filing, scanning, and photocopying.

Qualifications:

  • Previous administrative assistant experience, preferably in construction or restoration, with knowledge of plumbing, mechanical, and electrical terminology and processes.
  • Basic knowledge in digital marketing, social media management, or content creation is a plus.
  • Knowledge and experience with government procurement processes and contracts are valuable assets.
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively.
  • Excellent communication skills, both verbal and written.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Attention to detail and accuracy in data entry and record-keeping.
  • Ability to work independently with minimal supervision.
  • High school diploma or equivalent; additional certification or training in office administration is preferred.
