San Antonio Museum of Art is Hiring an Accounts Payable Specialist Near San Antonio, TX
- Distribute payable invoices to departments for processing and approval.
- Pay invoices by verifying transaction information, scheduling, preparing disbursements and obtaining authorization of payment.
- Prepare all accounts payable checks for signature by signers on the account.
- Manage employee business credit cards and distribute monthly statements for coding and approvals. Enter business credit card monthly expense reports into accounting system.
- Process employee reimbursements via accounting system.
- Deposit incoming checks via Remote Capture. Scan and email deposits to Development department. Make bank deposits for Admissions and Gift Shop.
- Reconcile and enter all Gift Shop, Shopify and Admissions cash and credit card transactions.
- Processes ACH or Wire transfers via bank website.
- Maintain open invoice file.
- Scanning of all invoices maintained daily.
- Process mail correspondence to and from vendors and employees.
- Maintain record of all vendors with contract dates.
- Manage W9 forms and prepare 1099s at the end of each year.
- Follow up on discrepancies on invoices, check requests and vendor statements.
- Maintain and organize all current accounts payable files and prepare past files for storage at the end of the fiscal year.
- Running of accounts payable aging, invoice, check, and vendor reports as requested and/or needed.
- Process incoming and outgoing mail for all departments and maintain postage machine.
- Prepare monthly department reports and email to department heads.
- Order supplies for Finance office as needed and requested.
- Performs other duties as required.
- Education Level: High School Diploma required
- Associate Degree preferred or minimum three (3) years experience
- Knowledge of Non-Profit accounting preferred
- Knowledge of Excel and general ledger accounting
- Excellent communication skills
- Attention to detail
- Occasionally move items weighing up to 15 pounds
- Must be able to sit and stand for long periods of time
