Reports to: Head of School
FLSA Qualification: Non-Exempt
Position Purpose: Responsible for supporting the day-to-day operations of the school and the Leadership Team.
Essential Functions:
Provide support to the Head of School (HOS), as well as other Leadership Team (LT) members, in many capacities including calendar management, coordinating written, verbal and electronic correspondence, and liaising with departments and divisions across the school to prepare schoolwide reporting. This position also coordinates HOS, LT and Board of Trustees (BOT) travel on behalf of the school.
This position also serves as Recording Secretary for the BOT, which includes taking minutes at board meetings, preparing agenda, materials and food for meetings, assisting with board orientation for new trustees, tracking legal requirements, and other tasks as needed.
The Executive Assistant will also manage all calendars for the school, working with all departments and divisions to schedule use of buildings, conference rooms, and pods, including requests for space at the church, and coordinating event set-up requests. The position also helps to maintain the student database, as well as review major communications prior to sending. Other responsibilities include tracking employee compliance for annual requirements, such as first aid and CPR certification, coordinating hospitality and food for various on-campus events, and providing general clerical duties and administrative support to the school.
Qualifications:
The ideal candidate will possess a Bachelor’s degree and 3-5 years of experience, preferably in an educational setting. The candidate must have high standards of responsibility, superior organizational & computer skills, as well as the ability to maintain strict confidentiality and sensitivity, prioritize efficiently, and communicate effectively with constituents across the organization.
Physical Requirements and Work Environment:
Candidate should be able to work in a stressful environment dealing with a wide variety of challenges, deadlines and a varied and diverse array of contacts and work at a desk and computer for extended periods of time. This position is primarily in a traditional climate-controlled office environment, but occasionally may be called to work outside weather conditions, including extreme heat and cold.
