Summary

Reports to the EVP, Chief Technology Officer. Completes a broad variety of administrative tasks including managing an extremely active and complex calendar of global appointments and arranging multifaceted and detailed travel plans and expenses. Provides support to the EVP to ensure all tasks are achieved on time or ahead of schedule, in a professional, customer service-oriented and quality-focused manner as directed by the EVP. Will report into Freeman’s Corporate Office in Addison, TX, on a hybrid basis.
This position will support our Business Operations and Technology team. It is eligible to work a hybrid schedule, generally requiring work in-office 2-3 days per week. The ideal candidate will be located in Dallas, TX.

Essential Duties & Responsibilities

  • Spearhead the creation and execution of compelling presentations for the CTO, ensuring a clear and impactful communication of technical information
  • Collaborate with various teams to gather relevant data and insights to enhance the quality of presentations
  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, IT goals and objectives, Task Lists, IT communications and other tasks that facilitate the Executive’s ability to effectively lead
  • Composes and prepares routine and complex reports, budgets, correspondence and presentations that are sometimes confidential
  • Manages a variety of special projects independently or as part of a team, some of which may have organizational impact
  • Assist in the development and management of budgets related to technology projects and initiatives
  • Monitor and track budget, providing regular reports to the CTO and offering recommendations for cost optimization
  • Collaborate with other IT and non-IT leaders to ensure all admin deliverables on OKRs, Goals, other relevant documents and tracked and delivered with appropriate feedback
  • Ensures all administrative tasks for the EVP and the EVP’s staff deliverables are tracked, achieved and received in a timely manner
  • Maintains extremely active and complex global calendar, schedules appointments with Vendors and Internal stakeholders and coordinates meeting arrangements and Travel expenses
  • Arranges domestic and international travel
  • Plans, coordinates and ensures the EVP's schedule is up-to-date at all times and contains a high level of detail to effectively keep EVP well informed of upcoming commitments and responsibilities, following up appropriately
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures
  • Serves as a point of contact for internal and external constituencies on matters pertaining to the Office of the CTO
  • Communicates and interacts on behalf of the EVP with their direct reports, Executive Leadership, clients, vendors and partners, internal and external constituents, and others, on matters related to EVP's initiatives
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the EVP, including those of a sensitive or confidential nature; Determines appropriate course of action
  • Organizes and submits EVP’s expense reports in a timely manner
  • Collaborates as appropriate with the other Executive Assistants
  • Maintains discretion and confidentiality in relationships with Executive Leadership
  • May be asked to assist with the EVP’s personal needs
  • Performs other duties as assigned

Education & Experience

  • Associates degree required. Bachelor's degree preferred
  • Minimum 5 years of experience supporting Executive-level “C-Suite” leaders
  • Strong interpersonal skills, emotional maturity and the ability to build relationships with stakeholders, including staff, board members, and external partners
  • Ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer / client service and response
  • Possess the ability to exercise good judgment in a variety of situations and often ambiguous environments, with expert level written and verbal communication, administrative, and organizational skills
  • Takes a proactive approach to problem-solving with strong decision-making and critical thinking capability and assess opportunities and proposes solutions
  • Works independently on projects from conception to completion and effectively works under pressure to handle a wide variety of activities and confidential matters with discretion; maintains a realistic balance among competing priorities
  • Possess advanced organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Achieves performance goals and meets / exceeds deadlines in a fast-paced global environment
  • Proficient in MS Office suite of products including Outlook, Word, Excel, and PowerPoint as well as Adobe, Acrobat, and Social Media Platforms
  • Prepares executive level presentations, memos, and general correspondence
