We are seeking a dependable Administrative Assistant for a busy medical spa practice to perform a variety of daily administrative, patient concierge and clerical tasks. We are open Monday- Saturday and prefer candidates who are interested in working part-time and can be available some evenings and weekends as needed. The company offers a very positive, supportive work environment in Reston, VA.

Job Responsibilities:
Must adhere to the utmost professional conduct in accordance with standards set by our office
Schedules appointments and enters appointment date and time into electronic scheduler
Records when appointments have been filled or cancelled
Contacts patients to confirm appointments
Professionally greets all incoming clients
Interviews patient or representative to obtain and update patient demographic information
Explains practice policies as may be implemented from time to time
Obtains signed documents from patients in accordance with practice policy, including patient registration forms, statement of financial responsibility, statement of privacy rights and appropriate consents
Assisting Medical staff with patient coordination, and assisting Operations Director with administrative duties
Assists with other medical office needs, including medical records, receiving payments for services provided, and cross-training to handle limited technical responsibilities
Assists with inventory and product stocking
Demonstrates knowledge of all products and personal insight to services provided
Job Requirements:
Proven work experience as a Medical Receptionist, Customer Service Representative or similar role
Experience in Aesthetics & Dermatology is a plus
Proficiency in MS Office is required and experience with Millennium is a plus
Hands-on experience with office equipment (e.g. fax machines and printers)
Professional attitude and appearance is a must*
Solid written and verbal communication skills
Ability to be resourceful and proactive when issues arise
Multitasking and time-management skills, with the ability to prioritize tasks
Positive character/personality traits desired:
Self-motivated team player who is driven to excel and promote the overall success of the company
Ability to connect with clients and build and maintain trust
Ability to manage front desk duties effectively and in a timely manner
Strong organizational/time management skills and punctuality
