DEWBERRY is Hiring an Administrative Assistant Near Charlotte, NC

Job Description

 Dewberry is currently seeking an Administrative Assistant in our Charlotte, NC office. The Administrative Assistant will perform a variety of administrative functions and recruiting support in a fast-paced, multi-disciplined group. The Administrative Assistant must be flexible, technologically savvy and client focused.

Responsibilities

Administrative Support

  • Respond to and communicate with clients via phone, email, letter, and in-person.
  • Create and/or prepare memos, letters, and reports.
  • Preparing materials for meetings (agendas, presentations, documents, notes).
  • Meeting and event coordination.
  • Printing, copying, and scanning when required.
  • Maintain electronic and paper files.
  • Archive projects/documents, as needed.
  • Assist with invoicing.
  • Assist with on boarding of new staff.
  • Manage travel, as needed.
  • Handle sensitive information with complete discretion.
  • Schedule meetings and keep organized.
  • Set up Teams meetings and send reminders.
  • Other duties as assigned.

Recruiting Support

  • Supporting requests from the recruiting team, schedule interviews for candidates
  • Conduct phone screens for candidates

Required Skills & Required Experience

  • High school diploma required, Associate or Bachelor’s degree preferred.
  • 2 years of experience in the field or in a related area required.
  • Architect, Engineering, Construction experience a plus.
  • Solid working knowledge of MS Word, MS Excel, MS PowerPoint, MS Outlook, and Adobe Acrobat.
  • Working knowledge of Bluebeam is a plus.
  • Must have a strong work ethic, detail oriented and excellent time management skills.
  • Strong interpersonal and written and oral communication skills.
  • Must be flexible and able to adapt quickly to various tasks and changing demands.
  • Ability to work independently while following instructions and pre-established guidelines to perform the functions of the job.
