Westport Linen Services is Hiring an Administrative Assistant Near Orleans, LA

The function of the position is to assist the General Manager, Plant Manager, and Customer Service in managing and distributing information within the office. This includes answering phones, maintaining files, filling out reports, sending and receiving correspondence. They will also be responsible for communicating with the customers. This includes taking customer orders, complaints, and then distributing them to the correct personnel.

Job Duties and Responsibilities

  • Answer the phone in a courteous manner.
  • Take orders and input into LinenMaster in a timely manner.
  • Distribute information as needed to plant management.
  • Manage Human Resources at the plant level.
  • Ensure accuracy for pre-payroll processing, ex. Time clock punches, new hires entered.
  • Complete Onboarding and orientation.
  • Process new hires, terminations, employee rate changes, according to company policy and state guidelines.
  • Compile reports in Microsoft 365 for managers.
  • Communicating customer issues with plant and corporate management immediately.
  • Confer with production, sales, shipping, warehouse, or delivery personnel to expedite or trace orders.
  • Maintain files / records.
  • Verify customer and order information for correctness, checking it against previously obtained information as necessary

Qualifications and Skills

  • Data base user interface and query software.
  • Microsoft Office 365 (Word, Excel, Outlook).
  • Active listening.
  • Critical thinking.
  • Organization skills.
