About The Role

We are seeking an Administrative Assistant that will play a crucial role in supporting the smooth operations of Impetus teams & construction projects! This individual is responsible for various administrative tasks that help ensure projects are completed efficiently and the project teams are set up for success. The ideal candidate is inquisitive, detail-oriented, resourceful, a team player, and has a strong will to learn construction processes.

Primary Responsibilities

  • Collaborate with project teams on project deadlines and deliverables.
  • Create, distribute, and maintain files of assigned project related documents.
  • Identify and address issues and obstacles promptly by collaborating with the team to develop solutions.
  • Prepare, organize, and distribute subcontract documents, purchase orders, and proposals.
  • Facilitate effective communication to ensure project milestones and documentation requirements are met.
  • Assist with all administrative company luncheons, meeting set-up, and trainings as requested.
  • Coordinate conference rooms, calls, couriers, hotels, travel arrangements, seminars, conferences, etc.
  • Ensure all project, company, and client policies, procedures, ethics & standards are followed.
  • Assist in executing the overall Employee Experience and communicate all event details relative to all corporate events including happy hour, monthly birthdays, inhouse meetings, community events, and company sponsored events.
  • Maintain a high level of attention to detail in all tasks to ensure that project documentation is error-free and that all administrative processes are followed meticulously.

Qualifications:

  • Previous experience in construction administration or a related field is preferred.
  • Proficiency in Microsoft Office products & ability to learn new software products is highly desirable.
  • Proficiency in Procore construction management & DocuSign software is a plus.
  • Strong organizational and multitasking skills.
  • Excellent communication skills, both written and verbal.
  • Detail-oriented with a keen eye for accuracy.
  • Ability to work collaboratively within a team and with various stakeholders.
  • Knowledge of construction industry processes and terminology is a plus.
  • Bachelor's degree in business administration, or a related field is a plus.
