This position will be located in-office at our Scottsdale, AZ National Headquarters 5 days a week. DUTIES AND RESPONSIBILITIES:
- Provides advanced administrative support (e.g., preparing reports, statistical spreadsheets, and assists with non-routine projects).
- Receives and greets visitors and vendors and screens and directs individuals to the appropriate staff member.
- Performs routine clerical duties (prepares agendas, takes minutes, provides refreshments, assists clean up, etc.)
- Assists with maintaining assigned leadership calendars including day to day and on-going meetings, projects, and priorities.
- Coordinates travel and prepares and tracks expense reconciliations for leaders.
- Coordinates logistics of activities and meetings, to include set-up and audio-visual equipment and expense management.
- Partners with Executive administrative support team members to achieve project and day to day deliverables and provide back up support as needed.
- Composes routine and non-routine and highly confidential letters and communications.
- Performs data entry and retrieval of information using various software applications.
- Coordinates incoming and outgoing distribution of mail, express mail/package services, inter-center mail, and/or other correspondence.
- Maintains department supplies (e.g., forms, office supplies, etc.).
- Assists with special projects, as needed.
Requirements Knowledge/ Education High school graduate or GED required.
Associate's degree preferred.
Thorough working knowledge of standard office procedures and equipment required.
Licenses/ Certifications Notary Public preferred.
Experience Five years related experience required.
Skills/Abilities Proficient with Microsoft Office (Word, Power Point, Excel, Outlook, Teams)
Must be highly organized and detail oriented; accurate and timely.
Must have excellent customer service and interpersonal skills.
Strong written and oral communication skills.
Proficient in office filing system.
