Company Purpose/Mission:

Roy Maas Youth Alternatives (RMYA) creates brighter futures for children in crisis by promoting individual success and healthy relationships in a safe, healing environment, giving children and families the tools to end the cycle of abuse.RMYA provides treatment programs for traumatized children who most often are victims of sexual, physical, and/or emotional abuse. RMYA supports using trauma-informed techniques and relationship-based approaches to create a safe environment that provides consistency, structure, and caring for the children we serve.

Job Summary:

The Accounts Payable Accountant is responsible for managing the accounts payable process, ensuring timely and accurate processing of invoices, managing vendor relationships, and maintaining accurate financial records. This position will also require understanding the monthly closing process and deadlines in a fast-paced environment.This position will require a knowledge of general ledger reconciliation and involve participating in cross-training with Accounts Receivables.

Essential Duties/Responsibilities:

Management and Administration:

  • Complete Accounts Payable tasks include assigning appropriate coding of expenses, paying invoices, running checks, monitoring payables, and addressing payment-related matters.
  • Verify billing accuracy and resolve discrepancies.
  • Conduct bank reconciliations for multiple accounts.
  • Prepare and file 941X forms as required.
  • Handle Texas Workforce Commission (TWC) unemployment tax filings.
  • Prepare and record payroll entries accurately.
  • Manage sales tax payable accounts and ensure compliance with tax regulations.
  • Assist with special event accounting responsibilities.
  • Collaborate with program staff and vendors to ensure accurate billing and payment processes.
  • Provide support during audits, including organizing schedules and documentation for audits conducted by external agencies.
  • Utilize accounting software applications, Excel spreadsheets, and other tools to maintain accurate financial records.
  • Conduct bank and general ledger reconciliations, ensuring accuracy and resolving discrepancies.
  • Work independently or within a team to achieve accounting goals and objectives.

Relationships and Collaboration:

  • Support and communicate directly with auditors and grantors as needed
  • Work with other members of the financial team to properly allocate and code expenses.
  • Collaborate with program staff to address discrepancies and ensure accurate reporting of data.
  • Maintain professional and ethical standards as prescribed by RMYA.
  • Maintain necessary certifications and training hours needed to fulfill job responsibilities.
  • Represent RMYA in a professional manner at approved events in the community.
  • Be supportive of all RMYA policies and procedures, and actively participate in their development by proposing changes and updates as well as working on teams designed to improve how we work together.
  • Perform special projects as assigned.

Required Qualifications:

  • Education: High School diploma or equivalent required.
  • Experience: 5 years of experience in accounting, preferably with experience in non-profit accounting. Proficiency in using accounting software applications, Microsoft Word, QuickBooks, and Adobe. Strong experience with Excel spreadsheets and data manipulation. Knowledge of General Ledger, Accounts Payable (AP), Accounts Receivable (AR), Payroll (PR), and cost reporting. Familiarity with external agencies such as IRS, TWC, and workers' compensation organizations.
  • Certification/Licenses: Valid Texas driver’s license or ability to obtain within 30 days of hire. Must have and maintain acceptable driving record.

    • Fraud prevention- knowledge of the appropriate procedures for identifying, reporting, and preventing fraud.
  • Physical Requirements: Prolonged periods of sitting at a desk and working on a computer. Few opportunities to relax during shifts; constant walking, standing, sitting, bending, squatting, arm and wrist rotation, reaching, twisting, kneeling, writing, typing, handling and counting cash, and daily encounter with office supplies and equipment; frequent lifting and carrying at least 10 pounds, pushing, pulling, and occasional driving; in person attendance with face shield/mask required.
  • Work Environment: Willingness to work flexible hours, including evenings, weekends, and holidays. Daily use of peripheral devices, office supplies, equipment, and technology. Shifts in environmental conditions i.e., outdoor, indoor, noise, glare, and moving objects. Fast-pace work using sensory demands i.e., hearing, vision, speech, spatial perception; dealing with multiple, complex, and repetitive tasks, working under pressure and precise deadlines, requires attention to detail, meeting precise standards, and some traveling. May be requested to work overtime and weekends for special program events.

Work Authorization/Security Clearance Requirements:

Successful clearance of Department of Family and Protective Services licensing background checks, (to include fingerprinting and drug testing) and maintenance of status providing ability to be present at an operation.
