The Opportunity :
The UCF Student Success & Well-Being, UCF Connect Department is accepting applications for an Administrative Assistant I. If you enjoy working with students, this is the position for you! The UCF Connect Transfer Center is the hub for all transfer students. This position is a front-facing, fast-paced position which includes support for transfer students, as well as administrative/office support functions for staff. This position will create and maintain positive relationships with transfer sending institutions and transfer students as they transition and matriculate into the university. This position/classification may be moved at management's discretion within the SSWB division to a commensurate level position as determined by the Vice President of Student Success and Well-Being or his/her designee.
Responsibilities:
Assists with operations and event planning, including preparation of meetings and other relevant functions/events.
Answers phone calls, assists walk-in inquiries, schedules appointments, and responds to general questions.
Schedules room usage for functions including conference room and engagement space for meetings and events, to include processing requests, communicating room usage expectations, and facilitating room changes.
Shares information with students that assist them in their preparation for meeting with a PeerKnight and/or a Student Coach.
Maintains professional discretion and confidentiality related to student records and other information.
Utilizes MyKnight STAR to document student interaction and use of Transfer Center services.
Provides in-depth administrative support for the professional staff located at the Transfer Center, exercising confidentiality to include scheduling meetings, maintaining appointment calendars, making travel arrangements, processing travel reimbursements, preparing correspondence, running reports, and updating communications.
Prepares departmental purchase requisitions, purchase orders, and accounts payable documents for processing.
Prepare and maintain records of all accounting, purchasing, and inventory data. Prepare, maintains and reconciles monthly expenditures.
Use Expense & Procurement Card to purchase supplies and equipment.
Assist in projecting budget needs for the department.
Assists with OPS student workers' schedules.
Other duties as assigned.
Minimum Qualifications :
High School Diploma or Equivalent and 0 years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. Click here for more information
Preferred Qualifications :
High level of customer service and interpersonal skills.
Excellent written and oral communication skills.
Ability to work collaboratively and develop effective relationships with key stakeholders.
Excellent organization and multi-tasking skills with high level of attention to detail.
Ability to work under pressure in high-traffic environment with deadlines, goals and time limitations.
Proficient in MS Office (Outlook, Excel, Word). Knowledge of SalesForce, PeopleSoft and Teams a plus.
