The Executive Administrative Assistant will be expected to provide prompt and professional service to internal and external clients. This position will serve as support to the CFO/COO and the President.

ROLES AND RESPONSIBILITIES

  • Manage clerical and administrative activities of executive leadership.
  • Schedule meetings, events, and appointments as directed.
  • Manage board and committee meeting calendars.
  • Attend Board, Board Committee, and Management Committee meetings to record minutes and activities.
  • Liaise with executive management to build board and committee meeting packages.
  • Serve as Assistant Secretary to the Board.
  • Assist with shareholder communications and annual meetings.
  • Prepare and submit expense reports.
  • Serve as backup to the Administrative Assistant and call overflow.
  • Other related duties as assigned.

Requirements:

QUALIFICATIONS

Education/Experience

  • AA Degree or equivalent experience.
  • Minimum five years in an administrative assistant role.
  • Managing board communications and relations.

Language and Interpersonal Skills

  • Good client service and communication skills.
  • Ability to effectively respond to questions from managers, clients, and the public.
  • Effective interpersonal relationships with management, board members, and team members.
  • Ability to maintain a professional demeanor in a high-pressure environment.
  • Ability to operate in a team environment to accomplish shared goals.
  • Good attention to detail, ability to multi-task and manage time.

Mathematical Skills

  • Ability to work with basic mathematical concepts.
  • Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

Reasoning Ability

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Computer and Office Equipment Skills

  • Spreadsheet software (Microsoft Excel)
  • Word processing software (Microsoft Word)
  • Presentation generating software (Microsoft Power Point)
  • Other Microsoft Office applications (Outlook)
  • Copier/Scanner
