Job Summary:

Meneses Law has an immediate opening for an Administrative Assistant to join our new dynamic law firm to assist our Operations Department with various administrative tasks to ensure they can efficiently complete their duties. The Administrative Assistant will be performing clerical tasks such as making copies, organizing files, scanning files, uploading documents, and distributing mail for all office employees. The ideal candidate has excellent attention to detail, is organized, ethical, and a dedicated professional.

Essential Functions/Responsibilities:

  • Assist with day-to-day functions of our firm’s clerical work and administrative business.
  • Organize client documents on the e-file and name them as required.
  • Gather document and file away in proper file.
  • Prepare, process, and review a variety of documents.
  • Assemble documents by collecting, organizing, and summarizing information, documents, and evidence.
  • Organizes and maintains physical and digital case files.
  • Handles multiple matters simultaneously.
  • Follows firm guidelines, policies, and procedures.
  • Maintain the strictest level of client confidentiality.
  • Familiarity with common office processes, including filing, scanning, e-filing and handling mail.
  • Organization and ability to multitask for filing and completing several clerical and administrative tasks at once.
  • Attention to detail to ensure all tasks are completed to a high standard.
  • Entering data and proper information into company software.
  • Perform any other tasks or functions deemed necessary to the daily operations of the employer.

Required Skills/Abilities:

  • Excellent verbal and written communication skills.
  • Excellent organizational skills, time management skills, and attention to detail.
  • Proficient with technology and ability to learn our software systems.
  • Strong analytical and problem-solving skills.
  • Ability to prioritize tasks.
  • Ability to act with integrity, professionalism, and confidentiality.
  • Proficient with Microsoft Office Suite and MacOS systems.
  • Self-motivated with excellent interpersonal skills.
  • Friendly and strong commitment to customer service.
  • One year work experience as a Clerk or similar clerical role.
  • Good understanding of clerical operations (filing, data entry, and organizing).
  • Principles and procedures of record keeping.
  • English usage, spelling, grammar, and punctuation.
  • Ability to work in a fast-paced environment.
  • Able to type 45 WPM or more.
  • Must be fluent in English and Spanish.

Education and Experience:

  • Bachelor’s degree
  • 1 year of Office Experience.

Compensation

Meneses Law believes in Work Life Balance. Operation hours are from 9 a.m. to 6 p.m. plus 2 Saturdays a month for certain positions.

Qualifications/Requirements:

Education/ Experience:

  • A Bachelor’s degree, knowledge of MS Office and MacOS.

Communication Skills:

  • Ability of reading comprehension, writing, speaking to others to convey information effectively, active listening and interpreting instructional documents. English/Spanish bilingual communication is a must.

Reasoning Skills:

  • Must be able to analyze information, problems, situations, practices, or procedures to define the problem or objective. Identify relevant concerns or factors, patterns, tendencies, and relationships. Formulate logical and objective conclusions and recognize alternative and their implications.

Physical Demands:

  • This position involves regular walking, standing, sitting for extended periods of time, hearing, and talking.
  • May occasionally involve stooping, kneeling, or crouching. May involve close vision, color vision, depth perception, focus adjustment, and viewing computer monitor for extended periods of time.
  • Involves manual dexterity for using keyboard, mouse, and other office equipment. May involve moving or lifting items under 10 pounds.

Other skills:

  • Strong knowledge of business and management principles involved in strategic planning, leadership technique, production methods, and coordination of people and resources.
  • Excellent organizational and time-management.

Work Hours:

  • Monday to Friday from 9:00 am to 6:00 pm 2 Saturdays, per month. Must have the ability to work a flexible schedule based on department and company need.
