Spring Hills Communities is Hiring a Part-Time Administrative assistant Near Orlando, FL

Position Summary

Provide high-level office and administrative support to office personnel, answering calls, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. This position will provide additional assistance to the Finance Department based on ongoing needs. This position reports to the VP of Human Resources and Talent Management.

Essential Functions:

  • Answers phones using proper telephone etiquette.
  • Greets all visitors in a courtesy manner.
  • Provides various clerical duties as assigned such as filing, copying, binder assembly, etc.
  • Responsible for mail and package distribution and shipping.
  • Prepares various company email distributions.
  • Monitors, distributes, and tracks message from Spring Hills 888 Concern Line.
  • Prepares meeting requests and sets up conference calls.
  • Coordinates use of conference room for meetings.
  • Coordinates office needs, system set up, and other related access.
  • Maintains and coordinates all office equipment maintenance schedules.
  • Coordinates and oversees all office maintenance/repair/cleaning needs.
  • Handles corporate travel arrangements.
  • Responsible for office/kitchen/equipment supplies, ordering and inventory.
  • Keeps copy room in order and decluttered
  • Coordinates, completes, and logs all office repairs and concerns.
  • Informs supervisor of any issues or concerns.
  • Assists with letter correspondence and special projects as requested by the senior team.
  • Offers general administrative assistance to the Finance Department. 
  • Files, sorts, and performs data entry functions for Finance Department.

Non-Essential Functions:

  • Attends all required training, in-service, and staff meetings.
  • Strives to maintain a safe working environment through the prevention of accidents, the preservation of equipment, and the achievement of safe working practices.
  • Maintains a positive and professional demeanor toward co-workers and to the general public.
  • Adheres to all policies and procedures of Spring Hills, LLC
  • Performs other duties as assigned.

Qualifications/Skills/Educational Requirements:

High School Diploma or General Education Degree (GED); at least 1 year related experience and/or training; or equivalent combination of education and experience; proficient in Microsoft Office Suite; proficient in Internet usage. 

Physical Requirements: Standing (1/3-2/3), walking (under 1/3), using hands to finger, handle or feel (over 2/3), reach with hands and arms (over 2/3), climb and balance (under 1/3), stoop, kneel(1/2-2/3), talk or hear (over 2/3), taste or smell (under 1/3). Lifting up to 10 pounds (1/3 2/3), Up to 25 pounds (under 1/3); Up to 50 pounds (none)
