The Opportunity :
UCF's College of Community Innovation and Education (CCIE) is currently accepting applications for an Administrative Assistant I. This position is responsible for maintenance of the CCIE personnel files, directories, and search records. This position will also provide administrative support to both the main campus and the downtown campus suites for the College of Community Innovation and Education's Dean's Office.
Responsibilities: - Responsible for the day-to-day administrative and clerical support of both CCIE Dean's Office.
- Responsible for management of the college's record retention efforts for personnel files/records via ViewStar for all staff and faculty.
- Create and maintain new, current, and past employee files/records.
- Upload employee documentation to shared databases.
- Retrieve employee records upon request.
- Partner with the CCIE Human Resource Business Center to ensure the accuracy and confidentiality of records.
- Manage and retain paper-based and electronic records held within the CCIE Dean's Office to comply with state regulatory developments concerning record retention.
- Assist with the coordination, planning, organization, and preparation for activities, luncheons, and special events hosted by the CCIE Dean's Office and areas under the dean's office umbrella, including set-up, breakdown, check-in, note taking, and additional tasks and/or projects as needed.
- Serve as primary point of contact to greet guests, address and route questions about academic programs, services, and provide resources to visitors, students, parents, faculty, staff, and/or community members, who walk into or call CCIE.
- Serve as the back-up to support the Dean, Associate Deans, and Assistant Dean in the absence of their administrative support.
- Supervise undergraduate student workers.
- Coordinate recruitment efforts, hiring, onboarding process, training, and offboarding.
Minimum Qualifications :
High School Diploma or Equivalent and 0 years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. Click here for more information
Preferred Qualifications :
- Experience managing a front desk and working independently.
- Outstanding customer service skills.
- Strong interpersonal and communication skills, written and verbal.
- Computer skills in MS Office Suite: Word, Excel, PowerPoint, Publisher.
- Some knowledge of Viewstar a plus.
- Ability to organize, multi-task, and prioritize.
