Hunger Free America is Hiring a DOL Administrative Assistant Near New York, NY

Background: 

Hunger Free America (founded in 1983 as the New York City Coalition Against Hunger) is a dynamic and highly effective national progressive anti-hunger advocacy and direct service organization that is based in New York City but works in all 50 states. 

The Nation has written that the organization has grown into “one of the leading direct service and advocacy organizations on hunger and poverty in the nation.” 

Our mission is to build a nonpartisan, grass-roots movement to enact the progressive public policies and programs needed to end domestic hunger and ensure that all Americans have sufficient access to nutritious food. 

Our long-term goal is not just to ameliorate the problem, but also to build the people’s movement necessary to enact the economic and public policies needed to end hunger entirely. Given that hunger drains our economy and tears at our moral and civic fabric, we know that eliminating it will boost the nation both economically and spiritually. Towards that end, we have adopted the motto: “Ending hunger lifts us all.” 

HFA is seeking to fill a temporary part-time Administrative Assistant position that will report to the DOL Project Manager with additional support/guidance from the CFO. The part-time role will conclude six months after the commencement date. 

This position must be filled by a qualified Dislocated Worker. Candidates must pass a brief Dislocated Worker screening to be eligible for the position. Candidate must qualify as a Dislocated Worker. A "dislocated worker" is someone who lost their job due to one of the following situations:

You were terminated or laid off from your job.

You lost your job because of a plant closing or substantial layoff.

You have been unemployed for a long time and are unlikely to get another job in the same or similar occupation.

You were self-employed and are unemployed due to general economic conditions or a natural disaster.

You may also be considered a dislocated worker if you have been away from the labor force for many years. For example: you were a full-time homemaker, and you must now return to the labor force because you have lost your source of income.

Responsibilities

  • Administrative Support: Manage day-to-day administrative tasks such as scheduling appointments, organizing meetings, and handling correspondence. 
  • Document Management: Prepare, organize, and store various documents, ensuring accuracy and confidentiality. 
  • Communication: Serve as a point of contact between HFA Staff and DOL Project Manager. Manage phone calls, emails, and in-person inquiries. 
  • Calendar Management: Coordinate and maintain the schedule of DOL projects and meetings. 
  • Event Planning: Assist in organizing DOL-related events, and meetings, including logistics and attendee management. 
  • Data Entry and Reporting: Input data into databases or spreadsheets and assist in preparing reports. 
  • In-person Site Visits: In-person site visits in NYC to oversee the supervision of DOL hires or to manage their activities. 
  • Carry out other duties, as assigned.
Qualifications
  • Ability to research and troubleshoot solutions to problems and present potential solutions to teammates for discussion and approval. 
  • Comfortable challenging the status quo of current processes and policies. 
  • Strong organizational and project management skills, with proven ability to multi-task effectively and follow up with others as required to meet deadlines. 
  • Microsoft Office experience, including basic Excel function skills and intermediate Word formatting skills. 
  • Excellent note-taking skills, including during meetings, during training, and summarizing daily activities. 
  • Strong business writing skills, especially in drafting all-staff email updates and reminders. 
  • Proficiency with using office software programs such as Salesforce and Slack, or ability to learn quickly.
  • Commitment to, and passion about, HFA’s mission to end hunger in New York City and nationwide.
Essential Physical Demands
  • Must be able to frequently remain in a stationary position. 
  • Occasionally moves about inside the office to access file cabinets, office machinery, other offices, etc. 
  • Constantly operates a computer and other office productivity machinery such as a calculator, copy machine, and computer printer.
Salary and Benefits
  • This is an entry-level position with a nonprofit organization. This position is temporary. Part-time (18- hours per week) positions are non-exempt with a rate of $22 per hour, ending six months after being hired for a part-time role, with the potential for extension.
