Description
Position Purpose: To aid in the Human Resource (HR) department's daily functions including maintaining accurate employee files, ensuring accurate data is entered/processed in HRIS (Paylocity), talent management, benefits administration, leave administration, and enforcing company policies and practices. This position reports directly to the Director of Human Resources.
This is a Monday through Friday, 8:00 a.m. to 4:30 p.m., onsite position with the ability to work remotely as needed.
Key Responsibilities and Accountabilities:
• Aids in the recruitment process to include collaborating with departmental managers to understand the skills and competencies required for openings, creating postings, reviewing applicants, conducting phone screens, and interviews.
• Aids in the onboarding process by sending offer letters, benefit information, orders background checks & drug screens, enters employment data in HRIS, conducts orientation.
• Submits employment changes in HRIS to include pay increases, position changes, and supervisor changes.
• Aids in Benefit Administration by answering questions, updates in HRIS, and maintaining records.
• Maintains employee files including onboarding and offboarding checklists, paper filing, and file room maintenance.
• Communicates with insurance carriers and other program vendors including staffing agencies.
• Serves as a technical point-of-contact for attendance and benefits reporting and ensures data integrity, testing of system changes, report writing, and HR-related duties as needed.
• Works effectively with the HR Director to ensure proper controls, document flows, coordination of changes, and data integrity.
• Trains new employees on the HRIS to include timekeeping, changing their personal information, and benefit changes.
• Coordinates website updates to include bios of employees and individual company photos.
• Follows company policies and complies with company regulations and supports employees in the same.
• Reviews, tracks, and documents compliance with mandatory training. This may include safety training, anti-harassment training, and aptitude exams and certifications in company learning management system (Grace Hill Vision).
• Manages employee leave administration as well as supports ADA interactive process including proper documentation and federal compliance.
• Assists with employee recognition programs and events, as well as orders flowers as needed.
• Assists with Workers Compensation including reporting claims, tracking documentation, and follow up.
• Handles employment-related inquiries from applicants, employees, and supervisors, referring complex and/or sensitive matters to the appropriate staff.
• Supports employee disciplinary meetings, terminations, and investigations.
• Conducts exit interviews and prepares required documentation.
• Maintains compliance with federal, state, and local employment laws and regulations and recommends best practices; reviews policies and practices to maintain compliance.
• Maintains knowledge of trends, best practices, regulatory changes, and new technologies in human resources, talent management, and employment law.
• Other duties as assigned.
Requirements
• A minimum of a Bachelor’s degree in Human Resources or related field required AND two years of experience in a Human Resources role. A combination of additional experience and/or education that is equivalent to 6 years will be accepted.
• Thorough knowledge of HR related topics and tasks including recruitment, onboarding, HRIS/file compliance, employment laws, and benefit administration.
• Must have the ability to work in a face past environment with shifting priorities and not let tasks fall through the cracks.

• Proficiency with or the ability to quickly learn the organization’s HRIS and talent management system.

• The physical demands described here represent those that must be met by an employee to perform the primary functions of this job successfully. While performing these job's duties, the employee is frequently required to sit; handle, feel; reach with hands and arms, talk, and hear. The employee is occasionally required to stand and walk. The employee must occasionally lift and/or move up to 40 pounds. This job's specific vision abilities include close vision, distance vision, and the ability to adjust focus.
