We are currently seeking an Executive Assistant in our Boston Seaport office.
In this role, you will play a pivotal role in supporting our executive team in their day-to-day operations. This position requires exceptional organizational skills, attention to detail, discretion, and the ability to handle sensitive information with professionalism and confidentiality. You will be an integral part of the team, ensuring seamless coordination and execution of administrative tasks to facilitate the efficient operation of the office. Responsibilities include:
Executive Support:
· Provide comprehensive administrative support to our senior executives, including managing calendars, expense management, scheduling meetings, and handling correspondence.
· Act as a communications gatekeeper for the executives, screening and prioritizing incoming communications, emails, and phone calls.
Client Interaction:
· Serve as a point of contact for high-net-worth clients, assisting with inquiries, scheduling appointments, and ensuring exceptional client service.
· Coordinate client meetings and events, preparing necessary materials and logistics to ensure smooth execution.
Documentation and Reporting:
· Prepare and proofread documents, presentations, and reports for internal and external distribution.
· Maintain accurate records, databases, and files, ensuring compliance with regulatory requirements.
Project Coordination:
· Assist in the coordination and execution of special projects, initiatives, and events as assigned.
· Collaborate with team members across departments to facilitate project deadlines and deliverables.
Confidentiality and Discretion:
· Handle sensitive and confidential information with the utmost discretion and integrity.
· Maintain a high level of professionalism in all interactions, representing the company's values and standards.
Qualifications:
· Bachelor's degree preferred, or equivalent combination of education and experience.
· Previous experience as an executive assistant or in a similar administrative role.
· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
· Excellent communication skills, both written and verbal, with the ability to interact effectively with clients, colleagues, and senior executives.
· Strong organizational skills and attention to detail, with the ability to prioritize tasks and manage multiple deadlines.
· Discretion and confidentiality when handling sensitive information.
· Proactive mindset with the ability to anticipate needs and take initiative.
· Flexibility and adaptability to thrive in a fast-paced, dynamic environment.
