Aesthetics Biomedical Inc is Hiring an Administrative Assistant Near Phoenix, AZ

Reporting directly to the Marketing Director, the Marketing Assistant provides support in a one-on-one working relationship. The Marketing Assistant serves as the primary point of contact for internal and external communications on all matters pertaining to Marketing Director and organizes and coordinates outreach and external relations efforts; and oversees special projects. The Marketing Assistant must be creative and enjoy working within a small, entrepreneurial environment that is mission-driven, results-driven and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Marketing Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Duties and responsibilities

  • Completes a broad variety of administrative tasks for the Marketing Director including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Plans, coordinates and ensures the DOM's schedule is followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the DOM's time and office.
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the President, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
  • Works closely and effectively with the Marketing Director to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the DOM updated.
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  • Support the marketing department's initiatives with the planning, executing, and tracking of marketing programs such as email, event, social media, or content marketing
  • Independently coordinate marketing and community events, including overseeing logistics, managing registrations, coordinating with vendors, creating itineraries, and ordering marketing collateral
  • Coordinate product, event, or content email marketing campaigns, including copy, scheduling, testing, and database management
  • Create, proofread, and edit copy for various marketing channels, ensuring consistent voice
  • Update spreadsheets, databases and inventories with statistical, financial and non-financial information
  • Assist in the organizing of promotional events and traditional or digital campaigns and attend them to facilitate their success
  • Communicate directly with clients and encourage trusting relationships
  • Manage relationships with external vendors to ensure high-quality and timely execution of marketing programs, and to ensure competitiveness
  • Assist in writing and editing sales and marketing materials, which include articles, presentations, brochures, educational one-pagers and other various collateral.
  • Uploading and keeping up to date assets in various marketing portals and platforms
  • Serving as liaison between the company and print suppliers, graphic designer and various marketing services.
  • Maintain and modernize the marketing department’s documentation
  • Maintaining an updated calendar with tradeshows, workshops, and sales events. Transferring this information to social media & websites.
  • Generating event passes, thank you letters, thank you packages, form letters for mailing to help maintain relationships with press, media, and influencers.
