:Receptionist / Administrative Assistant
General Description:: The Receptionist / Administrative Assistant position is primarily responsible for managing the reception desk, performing a variety of administrative assignments, and maintaining our office purchasing, inventory, and invoices. Responsibilities include greeting visitors, answering phones, receiving and distributing mail and packages, maintaining smooth operations of the offices and coordinating employee events. The candidate will also be responsible for purchasing all office supplies and equipment, keeping track of the inventory, managing all invoices, payments and billing related issues, and booking flights and handling travel requests. The candidate is based at our Headquarter office located in the Galleria area and will work a 9:00am-6:00pm, M/F schedule.
ESSENTIAL FUNCTIONS:- This position is the first point of contact for all visitors.
- Manages the front reception desk maintaining a clean reception area.
- Welcomes visitors by greeting them in person, on the telephone, through email and answering or referring all inquiries appropriately.
- Greets visitors in a professional, friendly manner.
- Demonstrates “employee focused” attitude and superior customer service.
- Route telephone calls to specific recipient and answers questions appropriately.
- Maintains a clean break room, stocking it with snacks and drinks, and tidy’s all meeting rooms daily.
- Must have a professional appearance and positive cheery attitude.
- Manages and monitors visitor activities via the visitor check-in system.
- Collects, distributes, and delivers mail and packages to appropriate parties or departments.
- Assist executive staff with all administrative duties.
- Orders office supplies, snacks, drinks, and other items when requested.
- Manages and audits all inventory upon arrival and assists accounting with billing related issues.
- Reconciles and prepares monthly credit card expense reports.
- Assists with the planning of various Company events and ordering of food.
- Must be able to handle a variety of private and confidential information.
- Manages company insurance policies: including auto, property, general liability, and umbrella for company vehicles, offices and labs.
- Handles the booking of cost-effective travel for the Executives and staff, and ensures payment for travel is made.
- Assist Human Resources with various administrative tasks, such as employee birthday celebration, work anniversary posting, preparing welcome bags and new hire walk through.
- Go to local suppliers or stores to purchase Company drinks and snacks.
REQUIRED KNOWLEDGE, SKILLS, and ABILITIES: :- Ability to plan, organize and prioritize work duties and follow through on action items.
- Excellent communication skills and ability to interact well with others at all levels.
- Ability to work well in a team environment is a must.
- Must have strong organization skills, keeping workload moving seamlessly.
- Ability to prioritize multiple projects at any given time.
- Good written, verbal and listening skills.
- Ability to multi-task is essential.
- Must pay attention to details and mitigate to avoid making errors.
- Must be reliable and have no attendance issues.
Must be able to work independently.Must be a self-starter.- Overtime may be required upon occasion.
- May need to utilize personal vehicle for company errands.
MINIMUM REQUIRED EDUCATION, CREDENTIALS, LICENSES and EXPERIENCE: :- High school diploma or General Education Degree (GED) and two (2) year administrative or related experience, or an equivalent combination of education and experience.
- 2-year Associate Degree with some Administrative experience is preferred.
- Previous administrative role working in the oil and gas industry, or research is preferred.
- Having prior experience working with foreign companies will prove beneficial.
- Proficient in Microsoft Office products; Outlook, Excel, Word, and Teams.
- Must have a valid Texas driver’s license with an acceptable driving record.
- Must be able to pass a pre-employment drug and alcohol test.
- Must have current U.S. work authorization.
