Executive Assistant to the Executive Director/CEO, New York Disaster Interfaith Services

New York Disaster Interfaith Services (NYDIS) is a 501(c)(3) non-profit faith-based federation of faith communities, human services providers and charitable organizations who work in partnership to provide disaster readiness, response, and recovery services to New York City. NYDIS also operates an affiliate nonprofit, the NYC Emergency Shelter Network (ESN). ESN leads advocacy initiatives, coordinates, and builds the capacity of congregation-based street homeless shelter services, asylum-seeker shelters, and service centers as well as homeless mitigation initiatives. NYDIS currently has a $40M annual operating budget and 75 employees.

Reporting directly to the Executive Director & CEO, the Executive Assistant provides executive support in a one-on-one working relationship as well as supporting the Associate Executive Director. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the Executive Staff. The Executive Assistant also serves as a liaison to the board of directors and senior staff teams; organizes and coordinates executive outreach and external relations efforts; and oversees special projects including strategic planning coordination. The Executive Assistant must be creative and enjoy working within a small, entrepreneurial environment that is mission-driven, results-driven and community oriented. The ideal individual will have the ability to anticipate needs, exercise exceptional judgment in a variety of situations, have strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Support the Executive Director/CEO and Associate Executive Director
  • Manage the day-to-day administrative needs of and provide logistical support to the Offices of the Executive Director/CEO and Associate Executive Director including scheduling, expense reports, email management, planning and tracking follow-up with internal and external stakeholders.
  • Plans, coordinates, and ensures the ED and AED schedule are followed and respected. Provide a “gatekeeper” and “gateway” role, creating win-win situations for direct access to the Executive Office time and office. Ability to manage conflicting priorities and all matters with confidentiality, expeditiously, and in a proactive manner.
  • Ensure adherence to all project management deadlines and keep comprehensive records of minutes and action points for both internal and external meetings.
  • Collaborate with Senior Staff to ensure the timely completion of projects, reports, and special initiatives.
  • Vet, prioritize, draft, edit or proofread/copy edit emails and/or correspondence on behalf of the ED
  • Work closely with the ED/AED to keep them well-informed of any upcoming short and long-term commitments, special dates, travel, and follow-up as appropriate.
  • Organize event/meeting logistics including catering and set-up/breakdown as needed.
Board Support
  • Help maintain files, records, and archives for all Board-related materials.
  • Proactively support the scheduling of Board members in their engagement with the organization.
  • Manage consulting projects as needed/required by the President of the Board of Directors.
Qualifications:
  • Intuitive, poised, unflappable, and proactive go-getter with a no task to big or small mentality.
  • A good sense of humor and the ability to artfully deliver good and bad news.
  • Demonstrated ability to work with diverse religious and secular stakeholders and maintain positive working relationships with volunteers, staff, donors, and Board members.
  • Exceptional written and verbal communication skills – especially proof reading
  • Proven ability to navigate complex interpersonal relationships, promote positive staff morale and culture.
  • Must demonstrate sound judgment and discretion, ability to manage confidential information.
  • Must be able to work well under pressure and manage multiple tasks.
  • Impeccable attention to detail.
Education & Experience
  • Bachelor’s degree required.
  • 5-10 years of experience supporting C-Level Executives, preferably in a non-profit organization
  • Experience and interest in internal and external communications, partnership development, and fundraising
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media

Salary range, $70,000 to $80,000, commensurate with experience – with excellent benefits.
