Fresh is Hiring an Executive Assistant to the CEO Near New York, NY

MAIN JOB OBJECTIVE

The Executive Assistant to the CEO will manage the day-to-day administrative responsibilities for fresh’s CEO, inclusive of but not limited to: calendar management, booking travel, organizing expenses, project management, and event planning. As the right-hand to the CEO, the Executive Assistant will operate with the utmost discretion while working with highly confidential information, ensuring impeccable attention to detail, organizational skills and thoroughness. In constant communication with both internal Global LVMH leadership as well as external partners and clients, the Executive Assistant will represent the CEO the fresh brand with professionalism, a positive spirit and a high-level of service.

RESPONSIBILITIES

Administrative Support

  • Manage complex and ever-changing day-to-day schedules of the CEO via Microsoft Outlook, scheduling and organizing meetings across multiple time zones
  • Anticipate all needs of the CEO by thinking and working proactively with a one-step-ahead mentality
  • Prepare for meetings and appointments by creating agendas, preparing conference rooms and audio/visual needs
  • Review and prioritize emails and necessary communication in order to ensure timely responses
  • Correspond with Global LVMH leadership as well as internal and external partners (candidates, vendors, etc.,) on behalf of the CEO
  • Assist in regularly creating and editing memos and PowerPoint presentations to be presented by the CEO
  • Coordinate domestic and international travel arrangements; prepare detailed travel itineraries inclusive of flights, visas, hotels, meeting agendas, etc.
  • Screen phone calls and forward calls appropriately, communicating with external and internal partners in a professional manner
  • Oversee personal and departmental expenses submitting all necessary invoices in Medius and credit card expenses in Concur in a timely manner
  • Handle confidential information meticulously; escalate any required information with discretion
  • Maintain and update all reporting, files and databases on behalf of the CEO
  • Order sufficient product for, and oversee, gratis closet for necessary gifting to clients and external partners
  • Ensure CEO remains organized and on-schedule through proactive, consistent communication throughout the day

LVMH Partnership

  • Establish and nourish relationships at very senior levels of LVMH, Inc. and across Maisons, maintaining a professional demeanor and ease of access to top executives
  • Gain exposure to LVMH’s brands and business sectors by regularly partnering with various counterparts supporting Regional Presidents and Global CEOs
  • Work with LVMH Inc. executive support teams to handle coordination of any necessary events or programming as needed

Organizational and Departmental Support

  • Partner with departmental Executive Assistants to align calendars and plan for regular leadership meetings
  • Oversee all planning for company-wide town halls and events by corresponding with vendors and venues, sending company-wide calendar invites, creating collateral, compiling and distributing necessary gifting
  • Manage team calendars Executive Committee
  • Plan and execute Executive Committee events
  • Additional ad-hoc departmental and company projects

Profile

What you will learn (and/or achieve) in the first 6 months:

  • Build trusting relationships with the CEO in order to become accustomed to ways of working
  • Gain an understanding of fresh’s organizational structure and global business
  • Begin assisting in the planning and execution of company-wide events
  • Become familiar with fresh’s relationship with LVMH as well as leadership and key players within the Group

What you will achieve in 12 months:

  • Seamlessly provide support to the CEO with a well-rounded understanding of day-to-day business operations, anticipating all needs and working highly proactively
  • Oversee and experience a full-year’s cycle of events and fresh happenings
  • Create relationships with cross-functional partners and leaders from fresh and LVMH Maisons on a Regional and Global level in order to represent the CEO
  • Serve as a go-to contact in the business for overarching needs or requests as they pertain to company-wide initiatives

Additional information

  • 10 years of experience as an Executive Assistant to members of the C-Suite and/or Executive Leadership in a high touch capacity
  • French Speaking Required
  • Significant experience working in Microsoft Outlook and PowerPoint required
  • Highly proficient in all other Microsoft Programs (Excel, Word, OneNote, etc.)
  • Exceptional written and verbal communication skills
  • Experience managing highly sensitive information with discretion and professionalism
  • Strong ability to work well under pressure in a fast-paced environment with a positive attitude
  • Highly organized; a strategic planner able to create, implement and improve organizational systems, both digital and physical files
  • Demonstrated project management skills
  • Ability to work proactively with a solution-oriented mindset and a can-do attitude; always thinking one-step-ahead
  • Impeccable attention to detail
  • Consistent desire to go above and beyond in all capacities
  • Experience working in Luxury Goods a plus
  • Appreciation for working in a multi-cultural environment
