Your team responsibilities

MSCI is seeking an experienced Executive Administrative Assistant to partner with and support five Managing Directors within our Analytics and Research teams.

The ideal candidate has significant experience supporting senior management in a fast-paced environment, is adaptable and can undertake duties with strong attention to detail, skillful execution and autonomy. This as an excellent opportunity for someone who is highly motivated, client centric-oriented, and can leverage the team’s time by utilizing adaptive leadership. The person in this role will be part of a cohesive administrative environment that collectively supports the overall growth and success of our organization.

Handle a range of day-to-day operational tasks with a proven ability to maintain professionalism and utmost discretion.

Your key responsibilities
  • Proactively manage complex calendars, demonstrate solid understanding of priorities, flexibility, and problem-solving abilities to adjust schedules based on needs
  • Prepare documents and conduct post-meeting follow-ups as needed
  • Coordinate travel arrangements and expense reports in line with company policy
  • Effectively bridge communication between departments and clients to help Managing Directors achieve organizational goals

Project Management:

  • Support projects by adhering to frameworks and objectives while tracking priorities, schedules and expenditures
  • Oversee logistics of events such as town halls and off-sites
  • Manage agendas and presentation materials with attention to accuracy and consistency

Administrative/Office Support:

  • Provide on-site support such as conference room reservations and appropriate set-ups (audio/video connection, catering, seating arrangements); visitor registration and meet-and-greet
  • Work in partnership with the Administrative Community to ensure optimal office management and workflow optimization, i.e. provide back-up support
Your skills and experience that will help you excel

Minimum Requirements:

  • 5 years of administrative experience supporting senior-level executives
  • Strong oral and written communication – able to communicate clearly and effectively
  • Tact and good judgment in confidential situations and experience interacting with senior management
  • Effectively build relationships in a cordial and professional manner, consistently seeks opportunities to partner with colleagues
  • Skillful execution of administrative activities, with high attention to detail and follow-through
  • Strong technical competency, especially working proficiency of Microsoft Office 365 Suite (Word, PowerPoint, Excel, Teams, SharePoint) and Concur
  • Experience with the setting up and management of virtual meeting platforms (e.g., Microsoft Teams, Zoom)
  • Logistical Details:
  • Location: New York
  • Hours: 8:30am – 5:30pm EST / flexibility needed
  • Categorization: Local Office Flex (Time in office is flexible based on business, team and client priorities and will be agreed on between manager and employee / Employee needs to be within two hours commutable distance of the MSCI office)
