Scope of Position: As the Receptionist / Executive Assistant, you will play a crucial role in ensuring smooth communication within High Level Marketing and between our valued clients and our Team. Your primary responsibilities will include handling inbound calls and routing them to the appropriate department or team member, providing exceptional client interactions, and providing support to the executive leadership team as necessary.

Essential Duties/Responsibilities: 

  • Answer and manage all inbound calls to HLM, route the calls to the appropriate person or department based on the nature of the inquiry. 
  • Provides high-level administrative support and assistance to the Executive leadership team. 
  • Interact with clients, addressing their inquiries, requests, and concerns promptly. 
  • Assists in organizing meetings, including scheduling, preparing agendas, and taking meeting minutes as needed. 
  • Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior leadership.
  • Performs additional duties as assigned by executives. 
  • Performs other related duties as assigned.

Required Skills/Abilities:

  • Proficiency in Microsoft Word and Google Business Suite (Gmail, Google Docs, Google Sheets, etc)
  • Exceptional verbal and written communication skills.
  • Strong organizational and time management skills. 
  • Ability to maintain confidentiality and handle sensitive information with discretion. 
  • Customer service oriented mindset. 
  • Ability to multitask effectively. 

Education/Experience: 

  • Associate’s degree preferred; additional education or certification in office administration is a plus. 
  • At least 3 years of office related experience.

Work Conditions: This position will perform duties under normal office working conditions, including the prolonged use of a computer, office equipment, and working in close proximity to others. Essential physical requirements may include standing, walking, stooping, typing, and lifting up to 25lbs.
