Administrative Assistant
Provides administrative support to program and leadership team. As the first person to greet our participants, families, and visitors, this position is not only responsible for safety and security, but also for providing excellent customer service and creating a welcoming environment. Reports directly to Site Director.

Responsibilities

  • Ensure security procedures are followed
  • Communicate with staff, parents, participants, and visitors
  • Draft letters and other communications; help with mass mailings as necessary
  • Field calls and answer questions; answer and route fax and mail correspondence
  • Organize and maintain documents and files; ensure accuracy and compliance
  • Manage office supplies based on needs and budget
  • Coordinate vendors for office supplies and facility maintenance
  • Work closely with and provide support to Site Director and Assistant Directors
  • Ensure facilities are outward reflections of a Place of Excellence
  • Provide suggestions that improve center and organizational operations in manner that supports culture of learning and continual quality improvement
  • Other duties as assigned

Experience and Skills

  • Associate’s degree or equivalent
  • Two or more years of experience in administrative position, preferably in a non-profit or school setting
  • Ability to speak and write fluently in both English and Spanish
  • Strong planning, organization and implementation skills
  • Proactive, self-directed worker that can complete and follow through on activities
  • Balance multiple tasks and set priorities; project positive attitude and maintain calm during high activity
  • Excellent writing, interpersonal, and organizational skills
  • Bachelor’s degree preferred

Requirements

  • This job operates in a professional office environment. This role routinely uses standard office equipment. This position requires the person to talk and hear, long periods of sitting, and computer and phone use; other activities while performing this job may require lifting up to 30-pounds
