As the clinic director's right-hand person, the executive assistant plays a pivotal role in providing executive support and acting as the Director's primary point of contact. This position is not just about administrative assistance and project management, but also about interfacing with external organizations and taking charge of organizing and coordinating special projects. A creative mindset and a passion for results-oriented work in a community-focused environment are essential for this role, which is a key part of our clinic's operations.
This Part-Time job requires planning the Director's schedule, organizing meetings, composing high-level correspondence, and performing complex administrative duties.
Candidates need to be proficient in maintaining communication lines within the organization and following up on meeting-generated tasks. The position requires you to handle phone calls courteously and answer informational questions while exercising good judgment.
The position demands that you maintain confidentiality of information and decisions made within the Director's office. You would be responsible for creating Word documents, Excel spreadsheets, PowerPoint presentations, and other written materials and editing and proofreading them.
You would also need to deal discreetly with highly sensitive, confidential written, electronic, and oral communication concerning staff, Clinic, and patient matters and maintain confidential materials related to patients according to clinic standards and in compliance with HIPAA regulations and requirements.
The position requires you to work with external agencies, the general public, and individuals on a wide range of projects. You would act as the Clinic's representative in all interactions, exercising customer service skills and good judgment in addressing inquiries, complaints, and requests for direction. Minimum Qualifications
Bachelor's degree
Three years of executive experience assisting senior-level management
