Community HousingWorks is Hiring a Human Resources Assistant Near San Diego, CA

CHW is seeking a highly detailed, energetic, and well organized individual to join our Human Resources Team. This position will be providing full support to CHW’s Human Resources team as well as having an active role in enhancing the employee experience by supporting the HR team in achieving our People Operations goals. The objective of this role is to provide an opportunity for an individual to grow and develop in the Human Resources profession, through being exposed to and provided hands-on experience in HR. The HR Assistant reports to the VP of People & Culture, closely supporting the role as well as the entire HR team. 

The HR Assistant also oversees activities at the Central location within the suite, making sure that health and safety standards are met and arranging for repairs when needed, managing the Central office facility’s needs, and maintaining the org-wide office supplies and needs. This position will be responsible for ordering and maintaining organizational office supplies, and FedEx needs, and support the VP of People & Culture in safety, compliance, and staff engagement activities, tracking expenses, and coordinating with external vendors.

Essential Duties and Responsibilities:

Human Resources:

  • Support the VP of People & Culture
  • Coordinate, manage, and support staff engagement events
  • Work closely with and support the Human Resources team in all aspects of the employee experience including administrative tasks (recruitment, onboarding, offboarding, employee files, training, parking and access cards, etc.)
  • Business Cards: Process Business Card Requests, Place Orders/Deliver,
  • Responsible for and maintaining office safety reporting and addressing any unsafe conditions

Facilities:

  • Receives any facilities trouble tickets (i.e. A/C) and submits appropriate work order with Irvine Co, including coordinating service repairs needed with Irvine company.
  • Coordinate managing office décor and furniture moves, in coordination with VP of People & Culture
  • Coordinate Corodata – call for pickup and advise Corodata upon arrival of the location of pick up.

Office Supplies:

  • Manage Office Depot account: Org-wide ordering supplies, stocking & distributing, Inventory Control, Issuance, Receiving/Delivery
  • Maintain the Stamps.com supplies
  • FedEx: Maintain supplies, Ensure, support and coordinate pickup/delivery of FedEx
  • Amazon: Place Specific Orders
  • Support Administrative Assistant: Fill in when AA is on RTO
  • Identify/report office equipment to ensure it is in working order

Education & Experience:

  • Bachelor's degree (B.A. / B.S.) in Human Resources or PHR preferred and one to three years related experience and/or training; or equivalent combination of education and experience
  • Human Resource experience is highly desirable
  • Excellent computer skills, including Word, Excel, Power Point and Outlook in a Microsoft Windows environment
  • Excellent oral and written communication skills
  • Basic to moderate experience of employment law and best practices
  • Excellent interpersonal skills that include professionalism.
  • Skills in employment database management and record keeping; skilled in using an HRIS
  • Able to demonstrate a high level of confidentiality
  • Excellent multi-tasking and organizational skills.
  • Must be able to identify and resolve problems in a timely and consistent manner
  • Must be able to gather and analyze information skillfully
  • Must be able to demonstrate the ability to anticipate the next steps and provide the first line of support and management of items and issues needing immediate attention

Physical Abilities:

The physical abilities to perform tasks may require prolonged sitting, standing and/or moving. Minimally must move 20 pounds without assistance; may move over 25 pounds with or without assistance.
