The responsibilities are diverse and may include but are not limited to:

  • Manage multiple phone lines, schedule meetings and receive incoming vendor deliveries
  • Serve as a first point of contact for internal and external communication, using sound judgment in screening and responding to inquiries, prioritizing calls that need immediate attention, and triaging/resolving as appropriate
  • Support Assurance and Tax Partners and Sr. Managers.
  • Utilizing software for document retention of client information and maintain workflow processes.
  • Assist with requests for new client set ups and expansion of services for client services
  • Preparation and tracking of engagement letters.
  • Organize team scheduling meetings and maintain schedule updates in staffing system.
  • Book travel arrangements as requested.
  • Arrange in-house trainings, book conference rooms, coordinate attendees, all logistics, and arrange meal service.
  • Compose, prepare, and distribute written materials for management including correspondence, memos/letters, agendas, presentations, and minutes.
  • Run client-specific reports.
  • Maintain management contacts and mailing lists.
  • Assisting the team with daily workflow.
  • Serving as a backup Receptionist.
  • Processes check deposits, sort and distribute mail
  • Process invoice requests and back-up materials required to invoice client accounts.
  • Processes vendor invoices and courier requests.
  • Processes expense reports.
  • Act as liaison with IT and marketing.
  • Assists with new employee orientation.
  • Assist with tax processing during peak times or as needed.
  • Facilities Coordination (includes daily floor tour and service provider coordination).
  • Submits service tickets in building property management system.
  • Serves as primary administrator for parking, transit, and fitness benefits.
  • Assists with ordering general office supplies, pantry supplies, toners, letterhead and as needed
  • Coordinates busy-season activities and meals and miscellaneous events throughout the year.
  • Communicates weekly with Office Manager on tech issues and any other facilities related issues.
  • Runs errands as needed (may include walking).
  • Provides staffing outside of normal business hours as needed for special projects, supervision of vendor work, security needs, busy season coverage, etc.
  • Performs other duties as assigned.

Required Skills:

  • Minimum 3 years of high-level executive assistant work experience required.
  • Highly motivated with excellent organizational and interpersonal skills.
  • Proficiency in MS Office - Word, Excel, PowerPoint, Outlook, and Adobe Acrobat.
  • Manage multiple tasks simultaneously.
  • Strong verbal communication skills.
  • Knowledgeable of business grammar and basic proofreading skills.
  • Professional demeanor and appearance necessary at all times.
  • Demonstrated customer focus experience interacting with senior level executives.
  • Meticulous attention to detail and strong follow-up skills, required.
  • Ability to learn new computer programs.
  • Capability work in a fast-paced environment and meet deadlines.
  • Demonstrated team player with a flexible personality and positive attitude!
  • May be required overtime during busy season.
  • Must have the ability to lift 20 pounds.
