Position: Executive Sales Assistant

Location: 5800 NW 74th Ave, Miami, FL 33166

Job Summary

The Executive Sales Assistant will oversee coordinating activities, providing support to the Sales Management team, and liaising with other Departments. They are responsible for tasks such as scheduling appointments and travel planning, updating customer databases, and assisting with contract execution. They also provide customer support, coordinate conferences and events, and prepare financial worksheets and presentations. The Executive Sales Assistant should be detail-oriented, have a clear sense of prioritization, and have a keen ability to follow through with direction.

Duties & Responsibilities

  • Welcome and greet customers.
  • Welcome and set up onboarding itineraries for new hires in the department.
  • Welcome and set up customer visit itineraries
  • Assist with setting up training schedules for the sales team.

o Manage professional and personal scheduling for Global sales director and general manager, including agendas, mail, email, phone calls, client management, and other company logistics

o Manage senior executives’ travel logistics and activities, including accommodations, transportation, and meals

o Provide administrative and office support, such as spreadsheet creation, and maintenance of contacts database

o Maintain professionalism and strict confidentiality with all materials

o Organize team communications and plan events, both internal and off-site

  • Prepare PowerPoint presentations as needed
  • Assist customers with shopping cart orders or online issues.
  • Enter IT tickets for problems with established programs.
  • Provide detailed reporting as needed
  • Maintain ISO document F-600-001 Risk Matrix.

o Inform sales team of latest personnel changes and contact info

o Review flagged, large or urgent internet shipments during the day

o Work as a liaison between logistics and sales by procuring any documentation Logistics may need BOL/Commercial Invoice, answering logistics inquiries, and working to ship orders the same day before the cutoff times.

  • Follow up with new customer inquiries and maintain new customer worksheets.
  • Identify and remove duplicate accounts.

o Review Credit Card Orders/COD orders for Fraud.

o Maintain territories list and sales organizational charts updated

o Answer Logistics inquiries on shipments during the day when the salesperson is away from their desk.

  • Review shipments with issues the operations manager provides.
  • Create reports of call reports that sales reps finalize
  • Follow up with with Expedite orders prepared and not invoiced.
  • Follow up with Expedite orders invoiced and not shipped.
  • Contact accounting to release orders on hold

Qualifications

  • Excellent Written and verbal communication skills
  • Fully Bilingual- English and Spanish
  • Ability to form and document procedures according to ISO 9001
  • Advanced knowledge of computers

Job Type: Full-time

Pay: $45,281.52 - $54,532.59 per year
