Job description
We are looking for an Administrative Assistant to join our team to support administrative functions.
The Administrative Assistant is remote (home-based) and works with all team members in the US, UK, and France. This position includes both Operations & Administrative functions and project execution by our international research teams.
RESPONSIBILITIES
Handle common administrative tasks such as calendar management, meeting organization, minute taking, and correspondence drafting.
Coordinate follow-up meetings that assist in keeping the team organized and focused; ensure information consistency from meeting to meeting.
Gather, upload, and file various documents in internal and external databases.
Support the preparation and dissemination of proposals, contracts, and agreements, ensuring accuracy and internal and external consistency.
Review contracting and procurement project files to ensure they are completed correctly, documents signed, and all files uploaded into electronic filing.
Assist project leads and operations staff in maintaining accurate and up to date research project files.
Work with project leads to develop, disseminate, and process vendor proposals for project-related support work.
Work with project leads, Operations, and Finance colleagues to ensure accuracy in project budgets, expenses, and invoicing.
Perform other administrative duties as assigned or required.

Ability to analyze data and make decisions based on that data within an organizational framework.

Self-starter with insight into company objectives, product, and project’s needs, implementing strategies, taking on extra tasks, etc. to meet/exceed those objectives and needs
EDUCATION AND EXPERIENCE
· Experience working in business services, administrative, or institutional setting, or any combination of education and experience where you exercised equivalent knowledge, skills, and abilities
· Comfortable with updating project management systems
· Proficient in Microsoft products (Outlook, Word, Excel, PowerPoint, etc.)
· High school diploma or GED certificate. AA, BA, or BS degree preferred
PHYSICAL REQUIREMENTS
Internal and customer-facing video conference sessions
Potential for long-hours sitting and working on a computer
