Academy Fire Life Safety is seeking an experienced full-time Administrative Assistant/Receptionist to work in our Long Beach, California office. The ideal candidate will have front desk, administrative, and office experience. Ideal candidate will have excellent communication and organizational skills and be knowledgeable in MS office.
As the first point of contact, the Administrative Assistant/Reception will:
  • Greet visitors.
  • Receive, send and distribute mail.
  • Answer incoming calls and transfer to appropriate personnel.
  • Order and maintain office supplies/inventory.
  • Generate memos, emails and reports when appropriate.
  • Coordinate meetings and travel itineraries.
  • Respond to questions and requests for information.
  • Add providers and attach documents into internal and client systems.
  • The ability to type at least 60 WPM.
REQUIREMENTS:
  • 3-5 years of Office Coordination.
  • 3-5 years of experience in Customer Service.
  • Current use of MS Office Suite (Word, Excel) in a proficient manner.
  • Detail oriented and comfortable working in a fast-paced office environment.
  • Exceptional communication skills.
  • Superior organization skills and dedication to completing projects in a timely manner.
  • Capable of passing a pre-employment background check.
In addition to the above, the most desirable candidate will be proficient in:
  • Customer Service - provide helpful, courteous, accessible, responsive and knowledgeable support to staff, clients, and others at all times.
  • Problem Solving - Identifies potential issues, find solutions by looking beyond the obvious, and apply effective methods for solving problems to support the business objectives.
  • Strong interpersonal/communication skills.
  • Detailed oriented and demonstrate a high degree of accuracy when performing data entry.
  • Notary a plus.
  • Fire Protection knowledge a plus
