The Role

We’re seeking a CEO Executive Assistant who will also manage our new office in Downtown Houston. This dual role combines high-level administrative support to the Chief Executive Officer with the overall management of office operations. This position is pivotal in ensuring that both the executive's schedule and office workflows are managed efficiently, contributing to the organization's productivity and success. 

Responsibilities

  • Administrative Support Providing comprehensive administrative support to the CEO, including managing calendars, scheduling meetings, making travel arrangements, and handling correspondence. The role demands a high level of organization and time management skills to ensure the CEO's schedule is optimized for efficiency.
  • Communication and Liaison Acting as a liaison between the CEO and other executives, board members, legal counsel, and external partners. This involves communicating on behalf of the CEO, ensuring clarity and professionalism in all interactions. The Executive Assistant/Office Manager facilitates communication, ensuring information is accurately and promptly relayed.
  • Meeting Preparation and Follow-Up Preparing materials for meetings, ensuring the CEO is well-prepared with necessary documents and briefings. Following up on action items from meetings is crucial, especially those requiring legal input or compliance checks.
  • Document and Record Keeping Preparing, managing, and filing documents, ensuring they are organized and accessible. This includes handling confidential documents with discretion and managing electronic and paper filing systems.
  • Meeting and Event Coordination Organizing and coordinating meetings, conferences, and office events, including logistics such as venue selection, catering, and technology setup. This requires excellent planning and coordination skills.
  • Expense Reporting and Budget Management Handling expense reports and assisting with budget management for the CEO's office. This involves meticulous record-keeping and financial organization.
  • Project Management Managing or assisting with special projects, which may range from office renovations to implementing new office systems or procedures. This involves project planning, coordination, and execution.
  • Office Management Overseeing the day-to-day operations of the office to ensure a smooth and efficient work environment. Responsibilities include managing office supplies, coordinating with vendors, overseeing maintenance and repairs, and ensuring office equipment is operational.
  • Financial Administration Managing office budget, processing invoices, and handling expense reports. This aspect of the role requires attention to detail, financial literacy, and the ability to manage resources efficiently.
  • Compliance and Procedures Ensuring that office operations comply with legal and organizational policies. This may involve developing or updating office procedures, conducting safety checks, managing emergency procedures, and ensuring compliance with health and safety regulations.
  • Professional Development Keeping skills up to date with the latest office technologies and administrative practices. Continuous learning and professional development are key to staying effective in this role.

Qualifications

  • 10 years of relevant experience, including c-level support.
  • Bachelor's degree in business administration or equivalent experience.
  • Ability to adapt to the fast-paced, diverse needs of a CEO and a rapidly evolving company.
  • Proactive approach to problem-solving and task management.
  • Discretion in handling confidential information.
  • Exceptional organizational and communication abilities.
  • Proficiency in office software.
  • Experience in energy or legal sector preferred.
  • Ability to work full-time each day in our Downtown Houston office.
  • Limited but occasional travel, i.e., 1-2 times a year.

Note: This role is salary non-exempt and eligible for overtime pay. Only candidates authorized to work in the US without requiring visa sponsorship will be considered for this position.
