Job Summary:

As an Accounts Payable Specialist focused on federal government contracting, you will be responsible for managing the accounts payable process to ensure timely and accurate invoice processing and payment, compliance with federal government regulations, and effective vendor relations. This role requires meticulous attention to detail, a strong understanding of federal contracting regulations, and excellent organizational skills.

Key Responsibilities:

Invoice Processing: Review, verify, and process vendor invoices and employee expense reports, ensuring compliance with federal regulations and contract-specific terms.

Payment Processing: Prepare and perform check runs, electronic funds transfers, and other payment methods, ensuring all payments are completed on schedule.

Regulatory Compliance: Maintain an in-depth understanding of applicable federal regulations, including the Federal Acquisition Regulation (FAR) and Cost Accounting Standards (CAS), ensuring all AP processes are compliant.

Vendor Management: Communicate with vendors to resolve any invoice discrepancies, maintain vendor files, and ensure W-9s and other necessary documentation are up-to-date.

Financial Reporting: Assist in month-end closing procedures, including reconciliation of the accounts payable ledger, preparation of accruals, and providing input for financial reporting.

Audit Support: Provide necessary documentation and support during internal or external audits, particularly relating to federal contracts.

Continuous Improvement: Identify and implement process improvements in the accounts payable process to increase efficiency and accuracy.

Qualifications:

Education: Bachelor’s degree in Accounting, Finance, or related field preferred.

Experience: Minimum of 2 years of accounts payable experience, preferably in a federal government contracting environment.

Skills:

• Strong understanding of accounting principles and federal government contracting regulations.
• Proficiency with accounting software and systems, such as QuickBooks, Deltek, Unanet or similar.
• Proficiency with Microsoft excel and words
• Excellent communication skills, both written and verbal, with the ability to interact effectively with vendors and internal teams.
• Strong organizational skills and the ability to handle multiple tasks simultaneously in a deadline-driven environment.
• High level of accuracy and attention to detail.
